Position Title: Payroll/HR Assistant
Terms of Employment: 12 Month Position
Evaluated By: Payroll Specialist/Director of Human Resources
Job Summary
Assists the Payroll Specialist and Director of Human Resources with day-to-day functions of the Payroll/Human Resources department. Must be able to learn functions of Payroll and Human Resources so that duties can be performed in the absence of the Payroll Specialist and Director of Human Resources.
Employment Requirements
- High school diploma required
- Technology skills: Required (Word, Excel); Preferred (Outlook, financial software system)
- Prefer experience with Indiana public school corporations
- Previous experience working in a payroll and human resources environment preferred but not required
- Excellent oral and written communication skills
- Excellent customer service skills, ability to resolve problems with internal and external customers

Assists Payroll with their following duties:
- Ensure payroll processing is completed accurately and timely biweekly
- Ensure that all employees are paid from correct accounts and funds
- Verify and enter hourly employee information
- Enter biweekly payroll exceptions
- Enter attendance for all employees
- Verify correct data has been entered
- Retain payroll records
- Comply with state and federal regulations
- Annual Open Enrollment of American Fidelity – ensure changes are accurate
- Verify ISTRF and PERF enrollment
- Complete and submit Verification of Employment forms when received
- Assist employees with Doculivery
- Resolve payroll problems with building secretaries and employees

Communicate pertinent information to all employees as needed- Reviews professional development reports and absence statements
- Must remain up to date on the latest trends, regulations and legal requirements of all payroll issues
- Assures that all pay increases for staff are accurate
- Performs all other duties as required by Chief Operations Office and Payroll Specialist
- Meets all aspects of the Classified Employee Handbook
Assists Human Resources with their following duties:
- Assists Director of Human Resources with preparing files for new hires and assists with LVIS as needed
- Perform E-Verify checks on all new employees
- Oversees limited criminal history checks as well as expanded criminal history checks, and monitoring the update required by law every 5 years
- Maintain employee benefit days
- Provides filing support to Business and Human Resources departments
- Assist with SafeSchools administration
- Assist with ParaPro Exam administration
- Assist with worker’s compensation
- Assist with employee recognition program
- Enters new hire employee entry in HR and Payroll software system
- Performs all other duties as required by Chief Operations Officer and Director of Human Resources
- Meets all aspects of the Classified Employee Handbook
