SCHEDULE: Varies, including weekdays and weekends, with regular nights, weekends, and some holidays
STATUS: Exempt
PAY RANGE: $50,000-$65,000
REPORTS TO: Associate General Manager
STATEMENT OF JOB:
Serves as local contact for all Huntington Theatre Company artists during their residence in Boston.
KEY RESPONSIBILITIES:
- Books travel for visiting artists within a predetermined budget.
- Arranges housing for visiting artists.
- Compiles, updates, and maintains paperwork detailing artist housing and travel.
- Greets guest artists when they arrive in Boston.
- Greets artists during rehearsals and prior to performances to attend to artist needs.
- Responds to artists’ questions and concerns while artists are in residence, providing high level customer service and support, including responding to emergency inquiries on evenings and weekends.
- Maintains 16 leased apartments used as artist housing by arranging cleaning and ensuring that all linens, appliances, etc. are well maintained.
- Purchases replacement furniture and other apartment furnishings as necessary, adhering to budget limitations.
- Coordinates apartment repairs and maintenance with building management.
- Books corporate rental housing and hotel rooms for artists when the 16 leased apartments are occupied.
- Negotiates with vendors including cleaning services, corporate housing providers, etc.
- Provides or coordinates transportation for artists to healthcare facilities during emergencies and non-emergencies.
- Maintains a list of local medical specialists and coordinates care for artists who are sick or injured while in residence.
- Supports artists who are sick while in company housing.
- Assists artists with the workers’ compensation process, in coordination with Human Resources.
- Manages timely and accurate expense reporting for the department.
- Purchases and coordinates refreshments during tech rehearsals, birthdays, closing performances, and occasional meetings.
- Purchases and coordinates meals for cast and crew between performances, as needed.
- Assembles welcome materials/bags and opening night gifts.
- Works as a liaison between the Box Office and guest artists to fulfill ticket requests.
- Creates and maintains a work schedule for Company Management to ensure adequate coverage during rehearsals and performances.
- Supervises 1-2 other full-time or part-time staff members in the department.
- Coordinates the activities of the Company Management department with other departments within the organization.
- Other duties as assigned by the Associate General Manager and General Manager.

Qualifications
SKILLS AND QUALIFICATIONS:
- Excellent written, verbal and interpersonal communication skills as well as demonstrated organizational abilities and initiative.
- Adept at managing multiple tasks simultaneously and capable of responding quickly and appropriately to the personal needs of guest artists.
- Proficiency with Microsoft Word and Excel as well as experience with a calendar program (i.e. MS Outlook).
- Previous supervisory experience required.
- Some physical labor, including lifting boxes up to 50lbs, and walking up to 1 mile between venues and artist housing, is required.
- Previous Company Management experience in a professional theater a plus.
- Knowledge of Actors’ Equity Association (AEA), United Scenic Artists (USA), and Stage Directors and Choreographers Society (SDC) rules and policies a plus.
- Proficiency with Tessitura ticketing software a plus.
- A knowledge of Boston amenities and housing a plus.
