Summary: Huntsville College Preparatory School is the difference between going to school and experiencing education. A school administrative assistant provides administrative support to school administrators, such as principals, vice-principals, or other senior-level education professionals. Their duties can vary depending on the needs of the school and the specific requirements of the administrative staff they work with.
Some common responsibilities in this position as a school administrative assistant include:
- Answering phone calls and responding to emails from parents, students, and staff members
- Managing the school's calendar and scheduling appointments for administrators
- Preparing and distributing documents, such as memos, newsletters, and reports
- Maintaining student records and ensuring the accuracy of student data
- Assisting with the preparation and distribution of student report cards and transcripts
- Coordinating meetings and events, such as parent-teacher conferences and school board meetings
- Assisting with the management of school finances, such as processing purchase orders and expense reports
- Ordering and maintaining office supplies and equipment
- Managing incoming and outgoing mail and packages
- Assisting with other tasks as needed to support the smooth operation of the school.

- Proven experience as an administrative assistant or office admin assistant
- Reading and writing skills to take notes, compose correspondence and reports and complete forms
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Proficiency in Google Drive (Docs, Sheets and Gmail, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Math skills to accurately complete basic computations and tabulations
- Ability to maintain accurate records

MINIUMUM REQUIREMENTS
- High school diploma or equivalent
- Three years experience providing clerical and/or administrative support for executive management involving the building construction and/or maintenance services assisting project management, building construction and/or maintenance.
- Direct experience with spreadsheet programs (preferably Excel) and either Microsoft Word or WordPerfect software.
- Experience performing time and attendance for a department or company.
