Randolph School seeks an experienced Upper School Administrative Assistant. The successful candidate has strong communication skills, is open to change and new challenges, is effective while working in a collaborative work environment, and is proficient in word processing and data management systems. This administrative assistant will have had success supporting an academic office; confidentially maintaining student, parent, and faculty databases, receiving and responding to communication regarding daily attendance, and coordinating logistics within the office. The candidate will support the workload of the Upper School Division Head.
Primary job responsibilities include:
- Serve as the primary point of contact for phone calls, emails, and visitors, handling communications professionally
- Process, distribute, and respond to incoming mail, email, and other correspondence
- Maintain accurate student and faculty attendance records and manage the reporting system
- Coordinate substitute teacher coverage for faculty absences in partnership with the school-wide substitute coordinator
- Support the creation and distribution of school communications, including weekly newsletters, announcements, and updates
- Coordinate and organize school events, including parent-teacher conferences, board meetings, and special functions
- Support the admissions process by assisting with prospective family communications and visits
- Support the planning and execution of graduation events, ceremonies, and related activities
- Maintain office supplies and equipment, coordinating maintenance and repairs as needed
Qualifications:
- Bachelor’s or advanced degree
- One to two years of related experience
