Job Summary:
The Huron Humane Society is seeking a dedicated and organized Office Assistant who will be responsible for completing adoptions, inputting medical records, managing POS transactions, processing background checks, answering phones and emails, and handling other administrative tasks. This role is vital in maintaining smooth operations and delivering excellent service to adopters, donors, and the community.
Key Responsibilities:
- Adoption Processing:
- Complete adoption paperwork, ensuring all forms are filled out accurately and completely.
- Work with potential adopters to review adoption applications, conduct interviews, and finalize adoption processes.
- Point of Sale (POS) Transactions:
- Process payments for adoption fees, donations, and merchandise.
- Ensure accurate record-keeping of all POS transactions.
- Background Checks:
- Complete and process background checks for potential adopters.
- Ensure compliance with organization policies and legal requirements during the process.
- Customer Service and Communication:
- Answer phones and respond to emails in a timely and professional manner, providing information about available animals, adoption processes, and general inquiries.
- Greet visitors to the shelter and provide assistance as needed.
- Office Management:
- Handle general office tasks, including filing, data entry, and organizing shelter documents.
- Maintain accurate records for adoptions, donations, and shelter operations.
- Use of Google Workspace:
- Utilize Google Docs, Sheets, and Forms to manage schedules, track adoptions, and assist with other administrative tasks.
- Additional Tasks:
- Support the shelter team with various tasks, including preparation for events or community outreach efforts as needed.
- Attend fundraising and social events as needed.
Qualifications:
- Strong organizational skills with the ability to manage multiple tasks.
- Experience working with POS systems and processing payments.
- Ability to conduct background checks and manage sensitive information with confidentiality.
- Excellent communication skills, both written and verbal.
- Comfortable using Google Docs, Sheets, and Forms (experience preferred but not required).
- Ability to handle phones, emails, and walk-in traffic professionally and courteously.
- Passion for animal welfare and supporting the mission of the Huron Humane Society.
- Outgoing personality with strong customer service skills.
- Exhibits compassion towards animals and their owners.
- Show patience and understanding when communicating with clients.
- Must be flexible and able to handle stress in a fast-paced work environment
- 1 Year Reception experience
Hours:
- General hours are from 10-11 AM to 3-5 PM, depending on the day.
Preferred Qualifications:
- Previous experience in a non-profit organization, shelter, or animal welfare field is a plus.
- Experience with customer relationship management (CRM) or donation software is a bonus.
- 1 Years experience in reception
Physical Requirements:
- Ability to sit for extended periods and occasionally lift up to 50-100 pounds.
- Ability to perform light office work such as filing, organizing, and managing supplies.
