Description
Under general direction of the Controller, processes all purchase orders, invoices, and payments from the University. The ideal candidate will be able to multi-task, meet deadlines, and provide exceptional service to internal and external customers while maintaining confidentiality at all times. The candidate must be a self-starter with excellent time management and organizational skills.
Examples of Duties
- Process all purchase orders. Reviews purchase orders to validate correct account numbers, authorizations, and related documentation.
- Reviews payments requests to verify clerical accuracy, proper authorization, and supporting documentation.
- Codes and enters invoices/payment requests into the financial system. Prepares checks for same.
- Maintains subsidiary ledger for accounts payable. Provides ad hoc reports related to payables and disbursements.
- Verifies vendor statements and investigates discrepancies.
- Develops, implements, and maintains systems, policies, and procedures related to accounts payable.
- Assists in development of payables/disbursement practices that streamline work and/or enhance internal controls.
- Gathers lien waivers, collects documentation, and reconciles payment history on large University capital projects.
- Prepares and distributes end-of-year 1099 tax statements for independent contractors.
- Prepares tax-exempt certificates, credit applications, and furnishes tax identification numbers to vendors. Collects W-9 forms from subcontractors.
- Ensures compliance by studying current accounts payable regulations and applying them to the University, as required. Maintains profession and technical knowledge through continuous education and/or reviewing professional publications.
Typical Qualifications
High school diploma or equivalent required; AS or BS degree preferred.
Experience in a busy office environment is a plus, and proficiency with Microsoft Excel and Word are required.
