POSITION SUMMARY
Huston-Tillotson University is seeking a detail-oriented and highly organized Accounts Payable Officer to assume responsibility for the daily operations of the Accounts Payable department. The ideal candidate will collaborate with department staff, other University departments, and external auditors to ensure accurate financial and tax reporting on a quarterly and annual basis. This role plays a key part in maintaining compliance with University policies and regulatory guidelines.
TASKS & RESPONSIBILITIES

Oversee the maintenance of financial records, files, and documentation (e.g., paid invoices, checks, vendor files, reimbursements, receipts) to ensure compliance with University policies and regulatory requirements.

Manage all Accounts Payable functions to ensure high-quality customer service for internal departments and external vendors.

Prepare and issue accounts payable checks twice a week, ensuring timely and accurate payments.

Prepare and process Purchase Orders on a weekly basis.

Serve as a liaison between University departments and vendors, communicating accounts payable-related matters effectively through both verbal and written correspondence.

Process 1099 forms, maintain W-9 records, and ensure compliance with IRS regulations.

Provide documentation and support for internal audits as required, ensuring accuracy and transparency in accounts payable and receivable processes.

Perform other related duties to support the efficiency and effectiveness of the Business Office.
Qualifications

Bachelor’s Degree in Business Administration, Accounting, or a related field is required.

Strong analytical and decision-making abilities, with demonstrated problem-solving skills.

Proficient in the use of Microsoft Office Suite, especially Excel, Word, and Outlook.

Excellent organizational and communication skills, with attention to detail.

Prior experience in a university or higher education setting, preferred.

Familiarity with accounting software and financial reporting systems, preferred.
