RESPONSIBILITIES:
Essential Functions-
- Work closely with industry partners to meet the needs of both companies and apprentices.
- Maintain records on apprentices, including data entry into RAPIDS and KansasWORKS.
- Prepare and submit reports to state and local agencies in a timely and accurate manner.
- Assist with the development, registration, and revision of apprenticeship plans.
- Actively participate in program advisory committees as assigned.
- Engage with area companies and organizations to establish new apprenticeships and pre-apprenticeship activities.
- Assist with FAST Track trainings and other pre-apprenticeship initiatives.
- Assist with enrollment processes for classes held on and off-campus.
- Provide comprehensive administrative, clerical, and office support to the Director of the Business and Industry Institute, including calendar management, scheduling meetings, processing invoice requests, coordinating travel arrangements, taking minutes at meetings, and data gathering and reporting.
- Practice effective communication, teamwork and customer service skills, including the effective use of email; computer applications; gathering and reporting data; social media; and excellent telephone skills.
- Provide administrative support for the HutchCC Safety Academy, Public Health and Safety Training, and Correctional Education.
- Serve as receptionist and telephone resource for the Workforce Development Center and the Business & Industry Institute.
- Prepare purchase orders, process forms, order supplies, and reconcile college credit card transactions in a timely manner.
- Input and update course schedules and data elements through the Course Creation System.
- Assist with event coordination and marketing initiatives, including brochures, flyers, displays, mailings, social media, and website updates.
- Organize luncheons and other events, and schedule room reservations.
- Practice customer service, maintain confidentiality, and work independently in a student-centered environment.
- Attend required college meetings and in-service activities.
- Pursue professional development through relevant classes, workshops, or seminars.
- Comply with HutchCC policies, procedures, and practices.
- Arrive on time for work, maintain regular attendance, and successfully complete assigned responsibilities.
- Serve actively on campus committees.
Secondary -
- Work closely with the Administrative Assistant to the VP of Workforce Development and Outreach.
- Perform additional responsibilities as assigned by the Director of the Business and Industry Institute.
QUALIFICATIONS:
- High school diploma or equivalent required; Associate degree preferred.
- Proficient computer skills (MS-Word, Excel, Email, Electronic Calendars, Website support, etc.).
- Valid Kansas driver’s license.
- Strong ability to establish and maintain effective work relationships.
- Ability to work independently and efficiently, with attention to detail, while maintaining confidentiality and professionalism.
- Strong communication, organizational, and customer service skills.
- Physical requirements: Ability to sit or stand for extended periods; perform keyboarding and data entry; operate office equipment; transport books and supplies; lift up to 50 pounds occasionally; use appropriate judgment and to apply tact and courtesy in difficult situations; indoor light to medium work environment.
- Mental requirements: Ability to comprehend basic instructions, learn new skills, and exercise good judgement.

HOURLY RATE OF PAY AND STATUS:
- The hourly rate of pay is commensurate with qualifications as determined by the HutchCC administration. This full-time support staff position is 12-months annual, benefit eligible, at-will, and nonexempt.
- This position is partially grant-funded and subject to renewal based on funding.
