Job Description :

Job Title : Fixed Asset Coordinator FLSA : Non-ExemptDepartment : Accounting Revision Date : 1 / 2025

General Function : Ensures all capital expenditure invoices paid to the personal property fixed asset accounts are booked to the respective retail or non-retail locations accurately and in a timely manner. Ensures equipment and vehicle fixed assets that have been transferred or retired are charged and credited to the correct location in the SAP accounting system.

Reporting Relations : Accountable and Reports to : Financial Reporting SupervisorPositions that Report to you : None

Primary Duties and Responsibilities : 1) Process fixed asset invoices for payment.2) Ensure sales / use tax is properly calculated by the SAP accounting system and is properly excluded or applied to all personal property fixed assets at the time of booking.3) Research questions on invoices from operations leaders and the equipment procurement teams.4) Enter applicable booking information into the SAP fixed asset accounting system to record an asset.

Secondary Duties and Responsibilities : 1) Reconcile bank statements.2) Perform other job-related duties and special projects as required.

Education and Experience :

High school diploma or equivalent required.
Experience with ERP systems, specifically SAP, and additional computer training in Microsoft Excel preferred.
Six months to one-year previous related work experience preferred.

Physical Requirements :

Visual requirements include the ability to see detail at near range with or without correction.

Must be physically able to perform sedentary work : occasionally lifting or carrying objects of no more than 10 pounds and occasionally standing or walking.

Must be able to perform the following physical activities : stooping, kneeling, crouching, reaching, handling, grasping, feeling, talking, hearing and repetitive motions.

Knowledge, Skills, Abilities and Worker Characteristics :

Strong interpersonal skills and the ability to relate to and interact with people in a friendly, professional manner.

Ability to identify problems, develop and execute solutions.

Ability to interact with basic computer systems, including word processing, spreadsheet and email applications, as well as job-specific programs.

Working Conditions :

The duties of this position are performed in a general office setting with flexible work arrangements outside of the office. There is weekly pressure to meet deadlines.

Working attire on a normal day in the office is “dress for your day” with jeans being welcomed.

Reports to work when scheduled and works expected number of hours.

Equipment Used to Perform Job : Calculator, telephone, copier, printer, and PC with Microsoft Office programs.

Financial Responsibility :

Pays the correct sales and use tax. Failure to do so correctly can cost Hy-Vee interest and penalties in an audit.

Handles and deposits check and cash payments from the sale of fixed assets.

Contracts : Has regular contact with store personnel, the equipment procurement teams, and outside vendors.

Confidentiality : Has access to confidential financial information including new store locations.
