The Event Planning Manager is responsible for effectively coordinating details of meetings, conventions and social programs involving Food and Beverage and/or Hotel Guestroom blocks. They will act as a liaison between an Organization and the Hotel, detailing all aspects of the group’s stay to ensure a seamless attendee experience. It is essential that this individual be an expert at building relationships and trust with Meeting Planners and Hotel Partners including the Oregon Convention Center, Travel Portland, Housing Companies, and preferred in-house and local vendors.
This position will host hotel tours and planning visits, support group’s menu development and tastings, review and implement contractual obligations, actively manage guestroom block yield, and facilitate communication before, during and post event with clients and pertinent hotel staff to ensure a high level of service.
The Event Planning Manager is a leader in the hotel, participating in and supporting initiatives within the Sales and Event team. The manager also works closely with an assigned Coordinator and other support staff.

Responsibilities include but not limited to:
- Implement contractual commitments, generate Event Details, and ensure timeliness of final payments and deposits
- Actively manage Guestroom block yield in accordance with the contract
- Serve the customer by understanding their needs and recommending the appropriate features and services to best meet and exceed their expectations
- Work directly with clients, gathering necessary information for guestroom arrangements, menu planning, room set-up and diagrams, event agendas, rental orders, décor, estimates and billing details, and any other requirements relevant to their event in a timely manner, assisting with those items as necessary
- Interact effectively with all departments within the hotel to ensure guest satisfaction and a positive work environment
- Work closely with industry partners as a representative of the hotel, city and brand
- Act as the on-site contact with flexibility to work evenings, weekends and holidays, as applicable

Qualifications
- A minimum of 2 years of hotel event sales/event planning or comparable experience is strongly preferred
- A true desire to satisfy the needs of others in a fast-paced environment
- Refined verbal and written communication skills
- Must be proficient in general computer knowledge and be able to learn new computer and web-based applications
- Candidates should be extremely detail oriented and organized
- Previous hotel F&B operational experience or exposure is a plus
- Ability to work under pressure
- Ability to preserve confidentiality and be able to work in a team environment
- Exceptional time management and organizational skills
