Position Summary

This is a project-based role, with an approximated 1 year term. This role is ideal for a highly motivated and communicative team player who excels at supporting senior leadership while fostering a supportive and structured environment for trainees. As an Artist Training & Development Program Operation Specialist, you will act as a bridge between the Head of Artist Training & Development and trainees, ensuring clear communication, constructive feedback, and an encouraging daily environment. This position offers an exceptional opportunity to explore the nuances of artist development and gain behind-the-scenes insights into the entertainment industry.

[Key Responsibilities]

Performance Tracking and Feedback Management

  • Monitor and evaluate trainee performance across all classes, maintaining detailed and accurate records for each session.
  • Collect feedback from instructors regarding trainee progress, areas for improvement, and achievements.
  • Share feedback with trainees in a constructive manner, helping them align with program objectives and personal goals.
  • Prepare and deliver regular performance reports to senior leadership, summarizing trends, challenges, and milestones.
  • Build rapport with trainees to ensure they feel comfortable while also delivering sharp and meaningful feedback that drives growth.

Program Support and Coordination

  • Assist the senior manager / director in developing and refining U.S.-tailored training programs, ensuring alignment with organizational goals.
  • Collaborate with instructors and coaches to adjust curricula based on trainee performance and feedback.
  • Coordinate scheduling and logistics for classes, workshops, and evaluations to ensure seamless execution of the training program.

Trainee Communication and Support

  • Act as a primary point of contact for trainees, addressing questions and concerns related to program objectives, schedules, and performance expectations.
  • Facilitate regular one-on-one or group feedback sessions to ensure trainees feel supported and engaged.
  • Provide guidance to trainees on incorporating feedback into their training routines for continuous improvement.
  • Act as a life coach for trainees, helping them navigate challenges and maintain balance in their daily lives at the center.

Collaboration with External and Internal Teams

  • Work closely with external partners, including instructors and coaches, to ensure program goals are met effectively.
  • Support the senior manager / director in managing external partner performance and ensuring alignment with program expectations.
  • Collaborate with junior operations specialists to ensure smooth execution of day-to-day tasks and responsibilities.

Reporting and Analysis

  • Analyze performance data to identify trends, strengths, and areas requiring additional support.
  • Provide actionable insights to senior leadership, contributing to the development of strategic improvements for the program.

Innovation and Experimentation

  • Participate in fostering a culture of experimentation and innovation within the T&D program.
  • Suggest and implement process improvements to enhance trainee development and program efficiency.
  • Explore behind-the-scenes aspects of artist development and the broader entertainment business to contribute to program growth and trainee success.


[Key Qualifications]

Required:

  • Bachelor’s degree in performing arts, education, business administration, or a related field.
  • Experience: 4-5 years of experience in program coordination, performance management, or a related role. A background in music or dance performance is highly preferred.
  • Flexibility to work nights, weekends, and holidays as needed.
  • Excellent interpersonal and communication skills, with a focus on constructive feedback delivery.
  • Proven experience managing long-term projects with external partners.
  • Strong organizational, interpersonal, and time-management skills.
  • Ability to collaborate effectively across teams and adapt in a fast-paced environment.
  • Proficiency in Microsoft Office/G Suite and office management software.
  • Patience and enthusiasm for youth development, with cultural sensitivity toward trainees.
  • Clear background check and ability to manage confidential information.

Preferred:

  • Strong preference for experience in the music industry; additional experience in sports or performance arts industries is also valuable.
  • Passion for talent development and a deep understanding of music and dance performance.
  • Detail-oriented with a proactive approach to solving challenges.
  • Adaptability to work in a dynamic, fast-paced environment.
  • Background in youth and leadership development.
