What are the responsibilities and job description for the Legal Receptionist/ Administrative Assistant/ Legal Secretary position at Hyde Law Firm?
We are seeking a full-time Legal Receptionist/ Administrative Assistant/ Legal Secretary/ Legal Assistant to become a part of our team! You will provide administrative support to our firm.
Responsibilities consist of, but not limited to:
· Provide initial point of contact for current and prospective clients via phone and at reception
· Manage phone system, firm scheduling, calendar, messages, and reminders for 2 attorneys and 3 paralegals
· Collect, review, and distribute mail and deliveries
· Filing, copying, scanning, faxing for current and closed client files
· Assist with correspondence and document drafting
· Running errands around town and surrounding Counties, as needed
· Maintain office supply stock
· Maintain office and reception area in a clean and tidy manner
Qualifications:
· Previous experience in an office setting or training is required, experience as a Legal Receptionist/ Administrative Assistant/ Legal Secretary/Legal Assistant/ Paralegal and/or Associate’s Degree in related field is preferred
· Familiarity with scheduling and calendar management
· Familiarity with office equipment (phone system, computer, copier, scanner, and fax machine)
· Computer literate with demonstrated proficiency in MS Office and ability to learn new software
· Ability to prioritize and multitask
· Excellent written and verbal communication skills
· Organized and detail-oriented
· Ability to handle discreet and confidential information
· Prompt and regular attendance is required
· Vehicle and Driver’s License is required
Physical Requirements:
- Lifting, pushing and pulling of heavy objects, boxes, office equipment, office supplies and deliveries may be required.
- Driving for errands is required (valid Driver's License and personal vehicle required).
