Position Summary
Responsible for overseeing the company’s administrative processes and functions. Provide assistance as a backup to HNW Finance; to provide assistance with aspects of company Work Order/Quoting and Procurement processes; provide assistance with company HR processes, and to provide routine and complex administrative support to the company Leadership Team.
Key or Essential Functions
The essential functions of the position include but are not limited to the following:
· Oversee and assist with executing daily administrative/operational support functions.
· Finance Team Support
· Support Shop/Office Folder Match up (invoicing Prep)
· Oversee General Filing/Scanning/Moving to Banker Boxes or electronic files.
· Run/Distribute Daily Reports
· Oversee Front Office and Breakroom Organization/Cleaning
· Maintain Office Supplies/Printer Area Organization/Cleaning/Restocking
· Oversee Employee Timecard (every two weeks) Approvals
· Maintain Coffee/Water Inventory/Refill
· Oversee File Room Organization/Cleaning
· Organize Monthly Metrics Meeting Lunch
· Maintain Janitorial Inventory Supplies Organization/Resupply
· Point of contact for Janitorial Contractor
· Answer phones and direct incoming calls, greet customers, assist with other management administrative needs.
· Oversee company administrative processes to ensure compliance.
· Oversee administrative document control/update processes.
· Monitor shred bins and schedule pick-up when needed.
· Organize and maintain files and documentation in accordance with Generally Accepted Accounting Principles and company policy.
· Provide Administrative support to the company Leadership Team.
o General Administrative assistance
o Correspondence support
o Travel coordination/scheduling
Secondary Functions
· Perform other duties as assigned by Management.
Job Qualifications/Requirements
Education/Experience:
· Minimum of 5 years’ experience in a fast-paced, challenging environment
· 2 years accounting experience preferred
Skills/Abilities:
· Ability to listen, communicate (written and verbal), excellent grammar, spelling, and proof-reading skills; follow-up effectively with all levels in the organization, as well as clients/customers.
· Advanced problem-solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, data analysis and multi-tasking skills
· Proficient in computerized accounting software programs and Excel and Word preferred.
· Demonstrated ability to oversee and improve internal administrative processes.
· Ability to anticipate work needs and follow through with minimal direction. Ability to work independently, be a self-starter, and be energetic.
· Possess strong organizational and time management skills
Physical Abilities:
· Work is performed primarily in an office environment.
· Primary functions require sufficient physical ability and mobility to:
o Stand or sit for prolonged periods of time.
o occasionally stoop, bend, kneel, crouch, reach, and twist.
o lift, carry, push, and/or pull up to 25 pounds.
