Office Manager
Summary
The Office Manager is responsible for leading a team in their efforts to properly transact the financial performance of the Company while maintaining an orderly and efficient office environment.
Responsibilities
- Lead administrative function with the support of 2-3 direct reports.
- Administrative function includes, but is not limited to:
- Construction Contract Billing
- Time and Material Invoicing
- Project Setup and Administration (paper and accounting system)
- Budget Updating and Revenue Forecasting
- Accounts Receivable Collections
- Accounts Payable Invoice Coding
- Onboarding New Hires
- Annual Benefit Open Enrollment Paperwork Coordination
- Time Sheet Review and Vacation/PTO Reconciling
- Certify Payrolls for Prevailing Wage Projects
- Equipment Utilization Tracking
- Vehicle Registrations/Tags
- Answer Phones, Sort Mail, Handle Office Packages
- Other Administrative Duties
- Train direct reports to support day-to-day operations and serve as a backup for other administrative team members.
- Completes administrative function duties by scheduling and assigning employees, following up on work results.
- Keeps local and corporate management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
- Maintains office staff by coaching, counseling, and disciplining employees, planning, monitoring, and appraising job results.
- Other duties as assigned
Knowledge and Skill Requirements
- Two plus years of experience in similar leadership role.
- Associate's degree or 5 years of work experience preferred.
- Proficient with Excel, Word, Outlook, Office 365, and SharePoint Online.
- Experience using an Enterprise Resource Planning accounting system like Microsoft Dynamics SL and an HR/Payroll software like ADP.
- Work requires professional written and verbal communication and interpersonal skills. Ability to motivate teams to produce quality materials withing tight timeframes and simultaneously manage several tasks.
- Experience in construction or oilfield services preferred.
