JOB PURPOSE or JOB SUMMARY:

The Production Coordinator is responsible for planning and managing the production schedule to meet on time deliveries/customer demands. This is done by maintaining and controlling the Production schedule and working with production manager/team leaders to assign and meet deliveries. The production schedule runs daily to analyze and release orders to production according to customer requirements.

Contributes to a positive working culture, builds strong relationships, and lives out the values of integrity, collaboration, and accountability.

ESSENTIAL DUTIES and RESPONSIBILITIES:

Planning and Managing Production Schedule

  • Plan and manage production schedules to meet customer delivery requirements and best utilize the company’s productive capacity
  • Maintain job board with listing and spreadsheet of all jobs on the production floor by assembler
  • Maintain upcoming job spreadsheets for HPU and Automation orders
  • Create and maintain job followers for projects
  • Maintain job/inspection checklist for each assembly job released to production
  • Prepare reports, maintain files and assign work
  • Track and provide report outs of KPIs to department manager(s)

Analyze and Release Sales Orders

  • Revise ship dates as needed and re-acknowledge accordingly 
  • Check orders for missing components
  • Revise and reschedule orders to compensate for rush order priorities, material shortages, vendors’ failure to deliver or customer cancellations
  • Analyzes sales order releases with respect to capacity planning and material requirements
  • Completes shipping information and delivery date input during sales order reviews

Collaborate with other Departments

  • Collaborate with inventory control, purchasing, engineering and outside sales on issues regarding production orders
  • Create and maintain expedite and part issue spreadsheets and communicate requested with purchasing/admin support
  • Update sales and engineering on components outside of the normal lead times; check alternatives
  • Update production manager on status of upcoming and current jobs in production
  • Communicates crate requirements with Inventory Control for shipment of HPU
  • Interfaces with manufacturing personnel, the purchasing department and supervisors on material status and production planning issues
  • Plan and co-ordinate weekly production meetings with respective department representatives

Clerical/General Administrative

  • Respond to routine emails, phone calls, etc.
  • Make copies, print documents, etc.
  • File paperwork

PHYSICAL AND MENTAL DEMANDS:

  • Frequently required to sit at a desk/workstation for long period of time
  • Ability to work at a computer terminal for extended periods of time
  • Digital dexterity and hand/eye coordination in operation of office equipment
  • Light lifting and carrying of supplies, files, etc.
  • Ability to speak to and hear employees/clients via phone or in person
  • Body motor skills sufficient to enable incumbent to move around an office environment
  • Additional Mental Requirements: compare, decide, direct, problem solve, analyze, instruct, interpret

WORKING ENVIRONMENT:

Working Hours/Environment

  • Office hours average 40 per week; may require additional hours including evening and weekends depending on business needs.
  • Work typically performed in an indoor office setting.

  • Personal computer, copier, fax/scanner, phone, and other typical office equipment
  • Project Management System Software

Travel

  • Minimal to no travel required

Requirements

  • High School Diploma or GED
  • 1-2 years of experience in a production planning/materials controls function
  • OR equivalent combination of education and experience
