On a day-to-day basis, the HATCI Operations Administrator…
Maintains key facility needs by :
Obtaining quotes and purchase of vending machine offerings, office supplies, etc.
Ordering supplies as necessary and maintaining accurate inventory
Maintaining kitchen and break areas stock and trouble-shooting team member concerns
Maintaining kitchen cleanliness not covered by cleaning staff (refrigerator, small appliances, etc.)
Reconciling invoices for utilities, copiers, shipping, and processing other company billing
Preparing new employee work spaces by working with team leaders to determine seating locations and providing general office supplies
Supports overall department initiatives, ensuring accuracy and taking action on a timely basis.
Assist department leadership with ad-hoc requests related to facilities and operations.
Track overall department operating budget
Receiving cross-trained in multiple aspects of HATCI office administration
Supporting overall Corporate Vehicle Lease program (as needed)
Serves as front desk receptionist (as necessary) by :
Checking in guests and maintaining all security requirements for facility visitors
Ordering business cards as needed
Coordinating and / or supporting other corporate initiatives, as necessary
Specialized Duties
Arrange Travel :
Set up Domestic and International fights for staff members
Coordinate travel from large groups of team members
Follow up with team members to ensure their travel is set up properly
Lease Cars :
Management of Lease Vehicle for staff members
Understanding the car lease system to assist with staff needs
Follow all policy and procedures outlined by the company for Lease Vehicles
Fleet Vehicle Management :
Perform quarterly physical audits of fleet vehicles
Assist with maintaining accuracy of fleet vehicle database
Fixed Asset Support
Check in new fixed assets
Process fixed asset disposals
Support annual fixed asset audit and bi-annual non capitalized asset audits
Support quarterly fuel audits
Support CPG Development Teams :
Process all purchase requests for the various Development teams at CPG
Process order requests for Amazon, Grainger, HMA, and Tire Rack
Process all check requests for Development teams at CPG
Candidates considered will...
Be proficient in MS Office applications (Word, Excel, PowerPoint, Outlook)
Maintain a keen awareness of accuracy and attention to detail
Be willing to support initiatives that may fall outside the day-to-day activities listed above
Minimum Requirements
High School diploma
1 year administrative work and / or negotiating with outside suppliers
