Summary/Objective
The Dental Administrative Coordinator will be positioned at the dental clinic’s front desk and play a crucial role in managing the financial and insurance aspects of the office. This position provides exceptional customer service to patients and coordinates varies functions at the front desk including check in and check out, appointment scheduling, and maintaining patient records. In addition, this position handles patient billing, processes insurance claims, and ensures accurate payment reconciliation.
Essential Functions

-Coordination with Dental Team: Collaborate with dentists, dental assistants, and other staff to ensure accurate billing for services rendered.
-Compliance and Confidentiality: Adhere to all legal and regulatory compliance requirements related to dental billing, including HIPAA regulations. Maintain patient confidentiality at all times.
-Customer Service: Provide excellent customer service to patients regarding billing inquiries, appointment inquiries and general inquiries about the clinic and/or their care. Explain complex insurance terms and coverage to patients in an understandable manner
-Answer phone calls promptly and courteously, providing detailed and accurate information about dental services, office policies, and appointment availability.
-Patient Billing and Insurance Claims: Manage patient billing processes, including preparing and sending invoices. File insurance claims on behalf of patients and follow up with insurance companies to ensure timely payment
-Insurance Verification and Authorization: Verify patient insurance coverage and eligibility before patient appointment and obtain necessary pre-authorizations for dental procedures. Maintain current knowledge of insurance plans and coverage limits.
-Payment Processing: Process payments received from patients and insurance companies.
-Payment Reconciliation: Reconcile accounts to ensure accuracy in billing and payments.
-Record Keeping and Reporting: Maintain accurate and up-to-date billing records and patient accounts. Generate financial reports for the dental practice as required.
-Rules and Regulations: Stay informed about changes in dental billing practices, insurance policies, and coding procedures. Attending relevant training and workshops.
- Adheres to company policies and procedures in addition to regulations, laws and other requirements from applicable governing bodies, certification, licensure and/or accreditation entities, etc.
-This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Education, Skills, Experience and Requirements
-High School diploma or equivalent.
-2 years working in an administrative role in a dental office doing billing and patient access.
-Valid driver’s license and insurable driving record, if applicable.
