Summary
Medical administrative assistants play an essential role on the I Am Boundless, Inc. residential nursing team. The Medical Administrative Assistant reports to the Supported Living Registered Nurse and will perform clerical work to support the residential nursing team. The Medical Administrative Assistant is responsible for keeping all resident’s medical files organized and current and handles administrative duties, such as answering phones and scheduling appointments.
Primary Responsibilities:
Answer phones and screen callers to understand with whom they need to speak, forward calls, arrange meetings, manage mail/email/facsimiles and other correspondence, and ensure correspondence is accurate, complete, and properly handled.
Schedule and coordinate appointments for individuals and contact the nurse if medical discretion and decision-making are necessary related to delaying, rescheduling, or cancelling appointments.
Communicate effectively with all staff.
Ability to identify problems, seek appropriate guidance, and report observations to nurse.
File medical records.
Notifies staff of needed medical appointments.
Works directly with nursing team.
Refills medications by calling in a prescription ordered by a physician identifying who they are and their role.
Orders medical supplies.
Attend individual’s medical appointments as needed.
Perform duties in compliance with HIPAA and all other legal standards.
Other duties as assigned.
Required Education, Skills & Experience
High School graduate or equivalent.
Must have good attention to detail and the ability to function effectively under deadlines, changing priorities, and the ability to work in a team environment.
Strong customer service skills.
Proficient with Microsoft Office: Word, Excel & Outlook.
Preferred Licensure/Certifications
CPR, First Aid, and Medical Administration.
Preferred Education, Skills & Experience
Two years' experience working with developmentally disabled individuals.
Medical assistant experience or administrative assistant experience.
Basic knowledge of medical terminology.Proficient with E-charts, and Streamline.
Special Skills & Requirements:
Must be able to communicate in English – including spoken (either face-to-face or over the phone) and in writing.
Must be detail oriented and have competent literacy and writing, documentation, communications, and interpersonal abilities.
Must have excellent attention to detail and extremely organized.
Supervisory Responsibility
This position has no supervisory responsibility.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are Monday through Friday, 9:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.
Travel
Travel is rare, but primarily local during the business day, although some out-of-the-area and overnight travel may be expected on occasion.
