Treatment Coordinator
Job Description:
Under the direct and indirect supervision of the orthodontic team, the Treatment Coordinator plays a pivotal role in guiding patients through their orthodontic treatment journey. This position is responsible for ensuring a seamless and positive experience for patients by providing comprehensive treatment information, coordinating appointments, and addressing any concerns or questions. The Treatment Coordinator will also engage in essential administrative functions, including answering phone calls, scheduling and confirming appointments, and organizing both paper and electronic files. Additional responsibilities include presenting cases and facilitating credit transactions, along with other basic financial support functions.
Key Responsibilities:
- Discuss treatment plans with patients and their parents.
- Document detailed treatment recommendations.
- Explain office policies and procedures to patients.
- Achieve a successful start conversion goal of 60%.
- Refer patients to specialty and dental offices as needed.
- Follow up with exam patients to ensure continuity of care.
- Arrange financial agreements and ensure consents are signed.
- Explain risks and limitations associated with treatment, ensuring patient understanding.
- Maintain cleanliness and organization of the work area.
- Educate patients about the orthodontist treatment plan.
- Greet and welcome patients upon arrival.
- Confirm start appointments to facilitate smooth transitions into treatment.
- Coordinate and manage patient treatment plans from initial consultation to completion.
- Understand and communicate treatment costs, insurance coverage, and financing options to patients and their families.
- Build rapport and maintain professional relationships with patients, families, and team members.
- Utilize strong problemsolving skills and emotional intelligence to address patient concerns and inquiries.
- Provide empathy and compassion to support patients throughout their treatment journey.
- Effectively communicate treatment options, procedures, and expectations to patients and their families.
- Maintain organized patient records and manage successful schedules to ensure efficient clinic operations.
