Title: School Administrative Assistant / Data Coordinator
Qualifications:

Education and Experience:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Two plus years of experience in an administrative or data management role, preferably in an educational setting.
- Proficiency in using Student Information Systems (SIS), and Google Workspace.
- Experience with an online educational platform preferred

Job Goals: The School Administrative Assistant / Data Coordinator plays a vital role in supporting the daily operations of the school while ensuring the accuracy and integrity of student data. This position requires a detail-oriented and organized individual who can manage administrative tasks, maintain student records, and generate reports to assist school leadership in data-driven decision-making.
Performance Responsibilities:
Administrative Support:
- Answer phone calls, respond to emails, and manage inquiries as the first point of contact for parents, staff, and visitors.
- Maintain and organize student files, attendance records, and other essential documents.
- Coordinate and schedule appointments, meetings, and events for school administrators.
- Assist in preparing correspondence, memos, and reports as requested by school leadership.
- Manage the inventory of office supplies and ensure necessary materials are available.
Data Management and Reporting:
- Maintain and update student records in the Student Information System (SIS), ensuring compliance with district, state, and federal guidelines. (TeacherEase, APEX, IXL familiarity a plus)
- Generate accurate and timely reports on student attendance, enrollment, discipline, and academic performance.
- Assist with state reporting, including data verification and submission.
- Assist in coordination of state testing.
- Organize student referral data and intake enrollment process.
- Monitor and ensure the accuracy of district referral data.
- Oversee the accuracy of student course assignments and online curriculum enrollment
- Support the development and implementation of data collection processes to improve operational efficiency.
Communication and Collaboration:
- Collaborate with teachers, social workers, and school administrators to gather and analyze student data.
- Communicate with parents and guardians regarding student attendance, enrollment, and other school-related matters.
- Provide training and support to staff on data entry procedures and best practices.
Compliance and Confidentiality:
Ensure compliance with FERPA (Family Educational Rights and Privacy Act) and other data privacy regulations.
Maintain confidentiality of student and staff information at all times.
Work Environment:
- Office setting within a school environment.
- Regular interaction with students, staff, and parents.
Salary Range:
$35,000 - $40,000 annually, depending on experience and qualifications
