Administrative Assistant

I/O Solutions is a human resources consulting firm and national test publisher located in suburban Oak Brook, IL. The Administrative Assistant position could be ideal for a new (yet mature) graduate or a more seasoned individual with experience in a professional environment. This job will be onsite 5 days a week at our Oak Brook office (remote work not available). Internally, this role’s title is a “Consulting Coordinator.”

Description of Potential Duties

The main duties of this role can be broken down into two administrative areas, as listed below. A general overview has been provided outlining the overall tasks related to the area. This list is not meant to be all encompassing. While not required, there are opportunities to travel out of state to assist with project administration if that is of interest to you.

Administrative and Team Support Tasks

  • Coordinate detailed printing and shipping for various project steps (item reviews, written examinations, assessment centers, etc.); high attention to detail is necessary to complete this successfully.
  • Collect materials, pack, and ship to site. Track all shipping logistics.
  • Review and proof documents related to, but not limited to, reports, schedules, instructions, data, etc.
  • Complete mail merges of client candidate information.
  • Data entry of critical assessment center data. Proof data-entry; Proof final assessment center scores.
  • Manage physical and electronic files related to large scale consulting projects.
  • Create/modify administrative materials related to assessment administration.
  • Oversee the management of technology equipment like voice recorders, video cameras, hard drives, tablet computers, etc.
  • Track office inventory and order additional supplies when needed.
  • Administer local written examinations and assessment administrations to clients.
  • *Potential travel out of state for assessment administrations (open to discussion with hiring manager); not required but an option.

Assessor Recruitment and Project Coordination Tasks

  • Serve as primary recruiter for public safety personnel assessors (evaluators/raters) in I/O Solutions' assessment processes for external clients. Make recruiting calls, manage recruitment processes, and handle day-to-day record keeping associated with this function.
  • Consult with project manager on regular basis to provide status updates and to finalize assessor pool.
  • Make all travel-related arrangements for assessors (flights, hotel, etc.) while holding to relevant company fiscal guidelines.
  • Coordinate expenses and reimbursements for assessors; includes travel mileage and honorariums.
  • Secure assessment meeting space (near client location) when needed.
  • Coordinate with assessment hotel regarding meeting room details and other critical arrangements regarding the assessment.
  • Use talent agencies to hire actors as needed. Will serve as the contact person for the agency.

Position Requirements

  • An associate's degree is required. Suggested fields include psychology, business, human resources, communications, criminal justice.
  • A bachelor's degree in psychology, business, human resources, communications, criminal justice, or related areas is ideal.
  • While no minimum experience is required, any experience in a professional environment is strongly preferred. Our business is a professional services consulting firm, and we work with government agencies such as cities, counties, and state public safety (police, fire, etc.) departments. You must be articulate, mature, and professional.
  • Strong skills related to Microsoft Office products (i.e., Excel, Word, etc.).

  • Ability to work quickly/efficiently on tasks, while maintaining a meticulous and uncompromising attention to detail (proofing and data-entry)
  • Strong initiative and self-management skill; high level of responsibility and willingness to take responsibility for assigned projects; balance multiple projects with various deadlines
  • Willingness to seek information about projects, actively engage in your training (seek out information during training), and consistently build on your knowledge base without prompt
  • Professional presence and demeanor; strong customer service orientation is essential
  • Strong quality focus
  • Strong skills related to Microsoft Office products (i.e., Excel, etc.)
  • Excellent interpersonal skills—Ability to fit seamlessly with co-workers and to project a strong/positive client orientation
  • Strong oral communication skills
  • Strong written communication skills needed to develop technical documentation, assessment exercises, supporting assessment documents, etc.
  • Strong organizational skill
  • Moderate analytical and problem-solving skills

The current opening is for an administrative assistant (internally called a consulting coordinator) on our consulting team. This position requires many administrative responsibilities but offers an excellent learning opportunity for a candidate interested in high-stakes employee selection.

Job Type: Full-time

Pay: $51,000.00 - $57,000.00 per year
