Suburban Construction Services is seeking a highly skilled detail-oriented, organized, and experienced communication Administrative assistant to join the team!
Key Responsibilities:
- Greet and assist visitors, clients, and employees professionally and respectfully.
- Answer and direct phone calls, take messages, and handle inquiries.
- Maintain and update electronic and physical filing systems.
- Process and distribute incoming and outgoing mail and packages.
- Assist in preparing financial documents, such as invoices
- Perform general administrative tasks, such as photocopying, scanning, and data entry.
- Collaborate with other team members to support projects and initiatives as needed.
Preferred Qualifications:
- A high school diploma or equivalent, as well as additional certification or training in office administration, is a plus.
- Experience with billing and payroll
- Ability to assist with scheduling
- Experience as an administrative assistant or in a similar role.
- Proficient in using MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Attention to detail and problem-solving skills.
- Ability to handle confidential information with discretion.
- Professional and friendly demeanor with the ability to interact effectively with individuals at all levels.
- Proficiency in both English and Spanish is preferred
Physical demands:
The physical demands of an administrative assistant role are generally light, involving prolonged periods of sitting at a desk, frequent use of a computer and telephone, occasional lifting of light office supplies, and brief periods of walking or standing to retrieve documents or files.
