Role Overview:

We are seeking an experienced and dynamic Conference Director to lead the planning, logistics, and execution of our innovative client conference. The ideal candidate is a detail-oriented, highly organized professional with a passion for event planning, a strong background in conference management, and a proven ability to deliver exceptional attendee experiences.

 

Key Responsibilities:

Conference Strategy & Planning

  • Collaborate with leadership to define the conference's vision, goals, and target audience.
  • Develop a comprehensive project plan, timeline, and budget to align with strategic objectives. Ensure adherence to budget and financial projections.
  • Manage a cross-functional team to ensure seamless execution of all event elements.
  • Provide clear direction, accountability, and support to team members.

Content Development

  • Identify and engage with relevant speakers with expertise in the conference topic.
  • Structure the conference schedule with keynote speeches, breakout sessions, panel discussions, and networking opportunities.
  • Ensure all sessions align with the audience’s professional growth and industry needs.

Event Logistics

  • Choose a suitable location with appropriate capacity, accessibility, and amenities to meet the conference needs.
  • Negotiate contracts and coordinate with vendors for catering, audiovisual equipment, registration services, and other necessary supplies.
  • Coordinate all on-site logistics, including registration, room setups, signage, and exhibitor support.
  • Coordinate with our event vendor on all items and update key stakeholders.

Sponsorship & Partnerships

  • Collaborate with the sales team to secure sponsorships, exhibitors, and partnerships.
  • Design creative sponsorship packages, including conference/sponsorship information, presentation templates, transition slides, looping ad slides, video integration, attendee handouts, promotional materials, speaker/sponsor materials, and deliverables to sponsors.

Marketing & Promotion

  • Facilitate event branding.
  • Partner with the marketing team to create and implement a comprehensive promotional strategy to reach the target audience through various channels, like digital campaigns, social media, email outreach, website promotion, and press releases. Drive attendee registration and engagement through innovative marketing tactics.

On-Site Execution

  • Plan and oversee the execution of entertainment and promotional activities during the event.
  • Manage event logistics on-site, including room setups, signage, attendee flow, exhibitors, speakers, contractors, and vendors coordination.
  • Oversee registration check-in and badge distribution.
  • Address any issues or concerns that arise during the event.
  • Coordinate with venue staff to ensure smooth operations.

Post-Event Analysis

  • Follow up with speakers and vendors, collect and analyze feedback from attendees, sponsors, and exhibitors to identify areas for improvement.
  • Reconcile expenses and prepare financial reports.
  • Maintain conference records and documentation.
  • Prepare a detailed post-event report, including financials and key metrics.

Qualifications:

  • Bachelor’s degree in Event Management, Business Administration, Marketing, or a related field.
  • 5 years of experience in conference or event management, preferably within the finance or lending industry.
  • Proven success in managing large-scale events with 500 attendees.
  • Strong budget management and negotiation skills.
  • Excellent organizational and project management skills with the ability to multitask and meet deadlines.
  • Proactive and capable of working independently and as part of a team.
  • Outstanding interpersonal and communication skills, both written and verbal.
  • Proficiency with event management software, CRM systems, and digital marketing tools.
  • Creative thinker with a passion for delivering unique and impactful event experiences.
  • Ability to work flexible hours and travel to different locations.
