ICS Fire Systems is a family-run, small-business located in Tewksbury, MA. Our industry expert Fire Suppression Technicians install, inspect, and maintain a variety of fire protection systems for commercial and industrial clients throughout New England. We have been installing fire alarm systems, special hazard clean agent systems, facility-wide sprinkler systems and other fire extinguishing systems for over 40 years!
We are actively seeking a Scheduling Coordinator to assist with scheduling and dispatching our team of valued technicians!
We are ideally seeking a full-time employee that is at our shop daily (M-F 7:30 AM – 4:00 PM).
General Requirements:
· Positive, adaptive mindset! Ideal candidate will not be flustered by making last minute changes to the schedule and discussing those changes with clients.
· Excellent customer service and comfort in handling warm-calls. Must be skilled at taking clear notes and requests from clients.

The Scheduling Coordinator will be responsible for:
· Serve as main point of contact all inspection and service requests from prospective clients and existing clients during normal business hours.
· Schedule and dispatch our team of valued technicians based on skill-set and client relations.
· Understanding nature of a call, level of urgency, any relative obligatory contractual requirements.
· Ensuring all dispatches are well documented within our scheduling software and all service request information and client contact information is accurate.
· Reviewing inspection and service reports to understand whether or not subsequent follow-up visits are required.
· Proactively following up with customer upon completion of inspection or service to ensure complete satisfaction OR discuss follow up service requirements.
· Communicating schedule mishaps in event of emergency service work.
· Assist with ordering of parts for scheduled service and management of shop-supply inventory.
· Assist with Operations Management team as needed.
Skills and Experience:
· 2 years experience in a Scheduling role is required. Experience scheduling service technicians highly preferred.
· Strong communication skills - pleasant and professional demeanor.
· Ability to multitask and pivot focus while handling emergency requests.
· Experience with Outlook/Microsoft365 and SharePoint preferred.
· Comfort learning new software.
