Idaho Asphalt Supply, Inc., is a leading asphalt supplier and marketer in the Inland Northwest and Pacific Northwest Regions. With plants in Idaho, Utah, Wyoming, Montana, Oregon, California, and Arizona, IAS supplies a diverse product line of asphalts, polymer-modified asphalt, and asphalt emulsions to the road maintenance and construction industry. IAS is looking for an energized and flexible self-starter to fill a full-time opening for an Administrative Assistant 1 at our Billings facility.

Position Overview:

Reporting to the Plant Manager, the Administrative Assistant 1 provides administrative support to the plant manager and sales managers. This position will establish and maintain effective working relationships with new and existing customers through professionalism and excellent interpersonal and communication skills. Administrative Assistant 1 must thrive in an environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, organizational skills, and the ability to maintain a realistic balance among multiple priorities. Administrative Assistant 1 must provide excellent customer service and administrative support to external and internal customers to include customer phone calls, inquiries, and research.

Position Responsibilities:

  • Basic knowledge of truck regulations.
  • Scale trucks and check incoming paperwork.
  • Answer and direct all incoming calls.
  • Quality checking our BOL’s.
  • Prepare daily sales reconciling with daily tickets.
  • Process material sales and send to AR for daily posting.
  • Input information into our computer system.
  • Provide customers with account information including invoices and ticket copies.
  • Observe company safety standards, maintain a safe work environment; document weekly and monthly inspections, file and submit them to the safety department.
  • Ensure LME and Samsara are current with the correct truck, driver, and trailers.
  • Filing, other duties and specialized projects as assigned.
  • Other tasks as assigned by the plant manager.


Minimum Requirements:

  • High school graduate or equivalent education/experience required.
  • One year of administrative office experience.
  • Excellent communication and organizational skills are a must.
  • The ability to perform basic arithmetic operations accurately (add, subtract, multiply, divide, and calculate percentages) and a strong attention to details.
  • Ability to answer telephones and greet the public in a friendly and courteous manner. Thorough knowledge of office practices, procedures, and equipment.
  • Microsoft Word and Excel proficiency; Strong verbal and written communication skills; Professional ethics, tact, and courtesy in interactions with management, team members, vendors, and internal/external customers; demonstrated ability to safely plan and set work priorities in a cost-effective manner.
  • Multitask oriented, organized, set priorities, and meet deadlines.
  • Attention to detail.
  • Good written, oral, and reading skills.
  • Excellent interpersonal skills
