What are the responsibilities and job description for the Clinical Departments Coordinator position at Idaho College of Osteopathic Medicine?
This position provides a broad range of administrative, coordination, and academic support for the Primary Care and Specialty Medicine departments and associated members. The coordinator role requires attention to detail, and by utilizing superior critical reasoning skills, and exercising independent judgement with coordinating tasks. The Clinical Departments Coordinator has a direct reporting relationship to the Chair of Primary Care and an indirect reporting relationship to the Chair of Specialty Medicine, though the position supports both departments equally.

- Provide administrative support to the members of the Primary Care and Specialty Medicine departments. This may include organizing faculty calendars, scheduling meetings, agendas and minutes, coordinating schedules, and ordering catering
- Provide administrative support such as answering telephones; assisting students, employees, and visitors; and resolving a range of administrative problems and inquiries
- In coordination with Department chairs, manage purchasing within department and course budgets
- Collect data and prepare semi-annual reports for the assessment process of Clinical Faculty, including Continuing Education credits, clinical certifications, and faculty participation in educational events
- Schedule and coordinate annual and special events and interviews
- Work with Educational Course Coordinators and Course Directors in support of ICOM's online learning management system (LMS) operations and processes. This may include entering student grades and attendance, documenting faculty participation, and uploading learning materials to an LMS.
- Proactively engage with 1st, 2nd, 3rd and 4th-year clinical course directors to assist in the delivery, scheduling, and execution of course work using the online LMS system. This may include but is not limited to entering student grades and attendance, documenting faculty participation in an online learning management system, syllabi development and revision, and assisting in any other activities deemed necessary by course directors
- Communicate with adjunct clinical faculty to coordinate provider schedules and educational activities for ICOM learning sessions and courses
- By collaborating with the Simulation department, coordinate schedules of students, adjuncts and clinical faculty for clinical simulation activities, utilizing online software programs
- Serve as a liaison with other departments by building positive relationships within the institution and external parties. Communicate effectively with all levels of faculty, staff, and students in the development, implementation, and maintenance of academic processes and procedures

Requirements
- B.S. or B.A. degree
- Five years of experience related to administrative duties
- Experience in higher education or the osteopathic medical school environment is preferred
- Previous experience with databases and online learning management systems is preferred
- Proficiency in using Apple, Office 365, Adobe, and Google products
- Exceptional attention to detail and the ability to plan ahead.
- Utilization of critical thinking skills to identify and proactively address issues with minimal supervision
- Effective organization and coordination skills that reflect the ability to prioritize competing demands, and complete action items efficiently with minimal supervision in a fast-paced environment with frequent interruptions
- Proficiency in professional communication skills, both written and oral, via in person, phone or email conversations
