Job Description
As an integral part of the leadership team, the Executive Assistant has direct responsibility for carrying out the administrative management and technical duties of the office. The incumbent is responsible for a wide range of complex and confidential administrative and operational functions.
These responsibilities include executive office management; high-volume communication and interaction with executive leadership, necessitating exposure to, and having the authority to handle, sensitive information. The position carries substantial responsibility and requires a broad range of skills and the ability to exercise considerable judgment, discretion, initiative, and independence. Interacts frequently with University administration, business leaders, current and prospective donors, and other senior-level university officials and their constituents, requiring precise and timely action and communication. This position may require occasional evening and weekend work to support University Advancement related work and events after normal business hours.
Key Responsibilities
- Prioritize and manage scheduling for the Vice President of University Advancement.
- Manage logistics for meetings, events, and travel that may involve ISU leadership, government officials, business leaders, donors, faculty, and others.
- Compile meeting materials, track action items, prepare briefings, presentations, and reports.
- May field concerns brought to the Vice President's Office.
- Prepare correspondence and other materials on behalf of the Vice President.
- Support the coordination of division-wide strategic planning initiatives and employee engagement activities.
- Create and maintain detailed records for historical reference and properly dispose of records as required by ISU records retention policy.
- Assist with the coordination of hiring new employees for UA and maintain accurate personnel records.
- This position may oversee temporary and/or student employees.
- Manage special projects and perform other duties as assigned.
- Partner with and provide backup support to the Executive Assistant for the Foundation.
- Collaborate with other University Advancement staff on projects as needed.
- Bachelor’s degree from an accredited university.
- At least 2 years of significant related experience with increasing responsibility in comparable positions.
- Demonstrated ability to organize, plan and manage complex logistics.
- Demonstrated interpersonal skills and a proven ability to work independently and under pressure, maintaining a highly professional demeanor.
- Strong Information Technology and computer skills, including extensive knowledge of Microsoft Office and Google Suite and the ability to learn new programs and software.
- Excellent communication skills, both written and verbal are essential.
Preferred Qualifications
- Preference may be shown to candidates who have experience performing the related duties and responsibilities in supporting an executive in an institution of higher education, or similarly complex organization.

Salary will be between $47,325-$55,000 per year, commensurate with education and experience.
