The Sales Support Coordinator at Cobalt Truck Equipment plays a vital role in processing jobs, ensuring accuracy in job details, and supporting sales operations. This position requires strong attention to detail, effective cross-departmental collaboration, and a focus on timely processing. You will be responsible for ensuring jobs are accurately processed, managing change orders, and supporting the overall sales process to help drive business success.
Key Responsibilities:
1. Job Processing
- Process assigned jobs once they receive a job number, aiming to complete processing within 2 weeks.
- Ensure that all required items from the Engineering Design Guide are added to the job.
- Verify that quoted items match both the Bill of Materials (BOM) and the work order.
- Collaborate with outside sales to ensure the proper submission of quotes and paperwork for job processing.
- Ensure that added parts follow established guidelines for part creation.
- Accurately input hours and parts to provide a clear representation of potential job margins.
- Update LOB/SIOP entrance criteria to reflect the accuracy of the BOM and work order.
- Upload job packets into Salesforce.
- Work with the Sales Support Manager to improve work instructions from TEQ.
2. Change Order Processing
- Follow the change order procedure to correctly update the BOM and adjust the work order to reflect changes in scope.
- Communicate changes to all involved parties, ensuring clarity on how the change order impacts the job.
3. Closing Router Procedures
- Learn to close jobs that are in the Sales Support Manager’s queue.
- Verify the accuracy of parts and pricing to ensure correct job margins.
- Collaborate with accounting, parts, service, and outside sales teams to resolve any issues before advancing in the closing process.
4. Job Advancement Tracker - Opening Router (JAT)
- Monitor the Opening Router process, ensuring jobs are through the opening router within 2 weeks.
- Follow up with departments or individuals if items remain in the JAT for more than a week without action.
5. Quote Preparation
- Prepare and deliver quotes within two days of receiving a request.
- Ensure that quotes fully cover the scope of work required for each job.
Additional Duties:
- Assist with other administrative tasks as directed by the Sales Support Manager and VP of Sales.
Competencies Required:
- Strong attention to detail and a commitment to accuracy.
- Excellent communication and organizational skills.
- Ability to collaborate effectively with multiple departments.
- Proficiency in Salesforce and other relevant systems.
- Knowledge of BOMs, job processing, and sales operations is a plus.
- Ability to manage multiple tasks and resolve issues promptly.
Work Environment This position works in an office setting. This role routinely uses standard office equipment such as computers and phones.
Position Type and Expected Hours of Work
This is full time position. Days and hours of work are Monday through Friday 8AM-5PM with an hour lunch break.
