Position Overview :
The ITA is seeking a highly organized and detail-oriented Executive Assistant to support the CEO in managing a variety of administrative and operational tasks. This role requires a proactive and adaptable professional who can handle membership management, event planning, bookkeeping, social media, and board relations. The ideal candidate should be self-motivated, excellent at multitasking, and able to maintain smooth day-to-day operations within the organization.
Key Responsibilities :
- Front Desk & Member Support : Answer calls, greet visitors, maintain a welcoming office environment, and assist with membership inquiries.
- Membership Management : Handle invoicing, dues tracking, collections, and maintain an up-to-date membership database.
- Bookkeeping & Financial Administration : Manage financial records using QuickBooks Online , perform monthly reconciliations, and collaborate with the accountant.
- Event Planning : Coordinate and manage major events (conferences, conventions), oversee logistics, sponsorships, and marketing efforts.
- Truck Simulator Dispatch : Schedule and manage the logistics of the ITA’s truck simulator for student programs.
- Board & Committee Coordination : Track board members, organize meetings, prepare agendas, minutes, and financial reports.
- Marketing & social media : Manage social media platforms, send weekly email blasts, and update the organization’s website.
- Sponsorship Management : Actively seek sponsorships for events and programs while ensuring sponsors receive appropriate recognition.
