What's the job?
Your mission is to provide exceptional project coordination for environmental remediation projects, ensuring seamless communication, efficient resource allocation, and high customer satisfaction. You will facilitate communication between office and field teams, manage project documentation, proactively remove obstacles to project completion, and foster collaboration among stakeholders.
As a key point of contact, you will liaise with vendors, the warehouse, insurance adjusters, project managers, and customers. You will manage the project lifecycle, including assembling estimates, notifications, and manifests, utilizing HubSpot for documentation, and developing material allowances and scope sheets. You will also track contracts, invoices, submittals, and estimates, provide daily status updates, maintain project schedules and files, collect site reports and logs, prepare change orders and supplements, assist with material purchases and deliveries, and facilitate customer warranties and certificates of completion.
What are we looking for?
- 1-3 years of experience in construction or restoration project coordination or a related administrative role with strong organizational and communication skills; high school diploma or GED required.
- Proficiency in Google Suite; Xactimate software experience is a plus; familiarity with CRM or project management software (e.g., HubSpot) is highly desirable.
- Bilingual English/Spanish is required.
- Basic understanding of financial reports and strong mathematical skills.
- Exceptional listening and communication skills to interact effectively with diverse stakeholders.
- Proactive and detail-oriented approach to problem-solving and task management; ability to work independently and collaboratively in a fast-paced team environment.
- Availability during standard business hours (Monday - Friday, 7:30 AM - 4:30 PM with a 1-hour daily lunch), with occasional overtime or schedule adjustments as needed.
Physical Requirements:
Ability to stand, bend, kneel, reach, stoop, lift/carry up to 30 lbs, operate a computer, sit for extended periods, communicate in-person/virtually/at distances, and drive with reliable transportation to offices.
Benefits and Compensation:
Annual base salary of $22-24/hour (DOE), with generous medical, dental, 401k, and other benefits. Ideal covers 90% of employee and 25% of dependent medical insurance premiums.
