Job Summary: We are seeking a skilled Administrator to join our team. You will be responsible for helping manage financial and administrative activities of the organization. This is a key role in a construction company that requires attention to detail, efficiency, and the ability to use administrative software. The Administrator will need to have a background in accounts construction administration, specifically job costing and construction bidding process.
Administrative
- Answer phones and emails.
- Manage office supplies and assist with inventory management.
- Responsible for company electronic filing system.
- Coordinate with employees regarding their job hours and needs to safely and cost effectively execute jobs.
- Compile data, complete internal and external reporting requirements.
- Communicate regularly with employees and vendors and assist with overseeing shop floor efficiency and flow.
- Drive continuous improvement efforts to optimize operational efficiency and cost-effectiveness.
- Cultivate strong relationships with customers, subcontractors, vendors, and regulatory bodies.
- Collaborate with the executive team to manage vendor and customer relationships.
- Track shop jobs and communicate to and with employees and management about progress, orders, and deliveries.
- Assist with construction job and safety paperwork for public and private projects.
Financial
- Assists with running payroll through QuickBooks including prevailing wage and taxes
- Responsible for maintaining accurate, up to date financial records.
- Monitor and forecast cash flow.
- Track and monitor budget throughout the year.
- Allocate employee time to projects, assist in processing payroll for all employees.
- Assist with accounts receivable - enter data, generate invoices for accounts, follow-up with customers, and analyze reports to assist leadership in decisions.
- Assist with accounts payable - pay bills, keep vendors updated, track payments in financial management system.
- Interface with important financial stakeholders to the company, including customers and vendors.
- Assist Human Resources with key interviewees and new hires and onboarding.
Job Requirements:
- Minimum of an Associates Degree required.
- Problem solving and interpersonal skills such as professionalism are required.
- Detail oriented, honest, and organizational skills a must.
- Construction job costing experience is preferred
- Minimum of two years of financial/administrative management experience.
- MUST be proficient in excel, QuickBooks, and other financial management software. Experience in QuickBooks is a must. Experience in E2 preferred.
- MUST have experience running payroll using QuickBooks doing Prevailing Wage jobs.
Job Type: Full-time
Pay: $21.00 - $24.00 per hour
