Job Summary: The Shipping Coordinator is a key member of the shipping department and is primarily responsible for the planning, communication, coordination, and execution of shipments to customers and outside service contractors. This position requires interaction with carriers to plan and resolve shipping related transactions. The Shipping Coordinator will work closely with production, planning, accounting, and materials departments to ensure product will be available to ship to on-time.
Essential Duties and Responsibilities include the following with other duties assigned as necessary:
- Responsible for gathering information required for shipments i.e., weights, dimensions, packaging requirements, shipment classifications, pick up and delivery dates, etc.
- Responsible for scheduling freight pick ups and communicating with carriers to ensure pickup and delivery dates meet or exceed customer requirements
- Responsible for initiating and managing freight quotation process and confirming freight costs with internal and external customers as required
- Responsible for generating and distributing of ASN, commercial invoices, labels, BOLs, customer specific documentation, and any other paperwork needed to maintain compliance with customer requirements
- Responsible for maintaining database of pre-ship packaging and product photographs
- Leads freight claim resolution as necessary
- Provides proactive communication with customers and freight forwarders to maintain streamline workflow of packaging and shipping functions
- Responsible for maintaining accuracy and completeness of data files for shipments including blue folders and pre-shipment photographs
- Required to assist with packaging, loading, and unloading of product as directed.
- Ensures that all assigned areas and equipment are properly maintained and utilized efficiently.
- Works in a safe manner at all times.
- Ensures that all work is performed in accordance with and adheres to IEAs ISO and Quality standards.
- Contributes to the Companys product improvement efforts and supports IEAs Six Sigma efforts.

Work Environment:
- Work location(s): Office with computer; metal fabrication/assembly shop, shipping/receiving, outside backlot.
- Exposure to: Fumes, airborne particles, wet/humid (non-weather) conditions, toxic/caustic chemicals, moving mechanical parts/equipment, inclement weather conditions.
- Personal protective equipment requirement: Safety glasses, and steel toe boots when in shop areas.

- Strong working knowledge of Microsoft Office, mainly Word, Excel, Outlook, Power point
- Knowledge of occupational hazards and the ability to follow safe work practices.
- Experiential: 2 or more years of shipping/receiving related administrative experience.
- Educational: Associate degree in business administration is desirable, experience in field will be considered in lieu of degree.
