POSITION SUMMARY
This position provides bookkeeping/accounting services for the company's overall functions. These
include accounts receivable, accounts payable, petty cash, month-end reconciliations, billing, and
backup to payroll processing.

ESSENTIAL FUNCTIONS
Understand, accurately interpret, discuss with, and inform others about financial data.
Use relevant computer software and platforms (e.g., Excel spreadsheets) to process, interpret,
and record and report financial data
Work in a sitting or standing position for several hours at a time
Work at a computer for several hours at a time
Effectively use email, phone, and/or videoconferencing to communicate
Accurate data entry and 10 key skills
DUTIES AND RESPONSIBILITIES
Accounts Payable
- Verify, record, and pay bills on time
- Accurate data entry
- Review expense accounts for accuracy
- Vendor communication
- Maintain up-to-date W-9 forms for vendors
- Process and mail 1099’s at calendar year-end
- Regular communication with multiple team members concerning agency purchasing
- Review the general ledger for posting accuracy and make corrections as needed
- Reconcile accounts as needed
Accounts Receivable
- Generate invoices for billing.
Petty Cash
- Reimburse petty cash for all departments weekly
- Reconcile and maintain administration petty cash weekly.
Back up/Support Payroll
- Verify timekeeping records and consult managers/employees about discrepancies
- Record payroll data in an automated software system and verify amounts before submitting
- Payroll Processing
Billing duties
- Reconcile company bank accounts
- Read and review GL for proper posting to accounts
- DD Billing - xPRS Billing in DD50, DD54, or other areas as needed
Engage in respectful communication.
Promote the professionalism of the industry
Team support
- Back up to other admin positions as needed
- Maintain knowledge of agency processes
- Actively engage with the administrative team
Other duties as assigned

Requirements
QUALIFICATIONS
Education and Experience:
- High school diploma; additional education preferred.
- 1 year bookkeeping experience
- Knowledge or prior experience of Sage 50, but not required.
- Non-profit experience is a plus, but not required.
- Strong computer skills including Excel, Word and other Microsoft Office applications.
- Valid driver’s license with insurable record.

- Must be detail oriented and very organized.
- Must be self-motivated and willing learn new skills
- Able to receive direction from others.
- Ability to handle multiple detailed duties with a very high level of accuracy.
- Ability to prioritize and self-manage tasks.

- Must be service oriented and willing to help out wherever needed.
