Title: Academic Process Coordinator

Schedule: 37.5 hrs/week, M-F, 8.30a.m. 4.30p.m, including occasional evening and weekend work based on seasonal business needs/position requirements.

Summary of position:

The Academic Process Coordinator (APC) provides program support and administrative assistance to a portfolio of international study centers as assigned and reports to the Assistant Director of the Academic Process Specialist Team.

Each APC works with a portfolio of Centers providing administrative, coordination, and logistical support. They ensure the accuracy of Center and program information. They also assist with a variety of administrative tasks including facilitating course registration, maintaining pre-departure information and program content online, ensuring syllabi are formatted and updated on a regular basis, updating program fees, and editing other promotional materials.


Job Duties and Responsibilities:

Administrative Support

  • Maintain accurate and up-to-date information about all aspects of assigned programs, including field trips, student arrival, program calendars, and Center contactinformation
  • Update institutional knowledge database with important Center updates and routine queries
  • Assist with and/or review language assessment tests and other Center- related forms and provide technical support as needed
  • Assist in the planning, budgeting, communication, preparation of materials, and tracking of curricular initiatives
  • Provide administrative assistance such as filing of expense reports, organizing program files, maintaining calendars, and making travel arrangements
  • Collect updated course syllabi from Centers and follow protocols for uploading them to public website
  • Commit to and demonstrate values and promotion of diversity, equity, inclusion and anti-racism
  • Regular and predictable attendance is an essential function of this position
  • Other tasks and/or department projects as assigned by departmental leadership and/or relevant APS

Education, Experience and Skill Requirements:

  • Associate's degree or equivalent work experience
  • 2 years' experience in an administrative role preferred
  • Strong computer skills including but not limited to webpage content management, Microsoft Office, and database entry skills
  • Excellent written and verbal communication skills
  • Strong attention to detail with the capacity to maintain accurate records
  • Strong organizational and problem-solving skills
  • Ability to be flexible and adaptable in a changing environment
  • Ability to organize and prioritize multiple projects simultaneously and to meet deadlines
  • Ability to demonstrate values and promotion of diversity, equity, inclusion and anti-racism
