Dispatcher

We are seeking a highly organized and detail-oriented Dispatcher/Service Call Representative to join our dynamic HVAC team in the new home construction industry. The Dispatcher will be responsible for managing and coordinating service calls, scheduling technicians, and ensuring efficient operation and resolution of service issues in a timely manner. The ideal candidate will have excellent communication skills, a strong understanding of HVAC systems, and the ability to manage multiple tasks effectively in a fast-paced environment.

 

Key Responsibilities:

• Answer and respond to incoming service requests and calls from homeowners, contractors, and internal staff.
• Schedule and dispatch HVAC technicians to job sites for installation, maintenance, and service calls.
• Track and prioritize open service calls, ensuring timely and effective completion.
• Provide accurate information to customers and address their concerns in a professional manner.
• Maintain and update service schedules, including tracking technician availability, workload, and location.
• Communicate effectively with the field team to ensure proper coordination and execution of HVAC services.
• Monitor and ensure all job requirements and deadlines are met in alignment with customer expectations and company standards.
• Enter and maintain detailed records in the service management software system, including service histories and job updates.
• Manage inventory of parts, ensuring technicians have the necessary tools and materials for each service call.
• Coordinate with other departments such as sales, warehouse, and project management to ensure smooth operations and resolution of service issues.
• Troubleshoot basic HVAC problems over the phone and provide guidance to customers when appropriate.
• Assist in scheduling preventive maintenance services for homeowners and property managers.
• Ensure all customer concerns are addressed professionally, escalating issues to management when necessary.
• Ensure all safety and regulatory standards are adhered to during service calls.

Specific Qualifications

• High school diploma or equivalent
• Previous experience in dispatching, customer service, or HVAC industry is highly preferred.
• Excellent communication skills, both verbal and written.
• Ability to multitask and prioritize in a fast-paced work environment.
• Strong organizational skills and attention to detail.
• Ability to work collaboratively with a team of technicians, contractors, and management.
• Basic troubleshooting skills and understanding of HVAC systems.
• Strong problem-solving abilities and customer service orientation.
