As a paralegal, you will provide essential support to attorneys by assisting with various legal tasks and administrative functions. See a detailed list of responsibilities below. Duties and Responsibilities:
- Corporate: Maintaining and updating internal corporate records (located in Dropbox); filing corporate documents for various entities as required by state/local jurisdictions (foreign qualifications, DBAs, annual reports, etc.); filing and tracking UCC financing statements/renewals; tracking and working with internal stakeholders to ensure corporate entity requirements/deadlines are met in a timely manner (for example, board meetings, annual meetings, distribution of financial statements, etc.)
- Litigation: Supporting attorneys with litigation needs, including tracking deadlines, gathering documents from internal sources, assisting with responding to discovery, and preparing for trials; maintaining and updating a quarterly litigation report that summarizes all pending and resolved litigation matters; drafting preservation notices for new disputes/lawsuits
- IP: Liaising with outside IP counsel on quarterly basis for reporting purposes to CLO/CFO; collaborating with internal stakeholders on trademark and other IP matters as needed.
- Finance/M&A: from time to time, assisting with due diligence, gathering documents, and managing transaction timelines for various transactions.
- Administrative Legal Tasks: using internal systems to submit purchase orders for legal expenditures and expense reports for attorneys; from time to time, mailing/overnighting documents and notarizing documents (preference for someone that is a notary public or is willing to obtain notary certification); ensuring any legal payments are made on a timely basis.
- Sales Team Support: Administrative support for sales team, including reviewing and responding to sales inquiries in a timely manner and maintaining and updating the sales database.
Work Experience and Requirements:
- Minimum of 3 years of experience working in a law firm or legal department with a focus on transactional/corporate practice; litigation experience is a plus.
- Bachelor’s Degree and/or Paralegal Certification
- Ability to work independently and efficiently on multiple assignments, and effectively collaborate with teammates.
- A proactive and problem-solving mindset, with the ability to learn new skills and tasks quickly.
- Exceptional organizational and multitasking skills, with strong attention to detail.
- Expert proficiency in Microsoft Office Suite and Adobe products.
- Strong administrative skills.
- Experience with corporate records and state filings.
- Candidate must be available to work in the office in north Austin on Mondays and at other times as needed to notarize documents, attend meetings or complete specific tasks.
