Position Summary
This role reports to the Operations Manager, IFS UK. The Training Operations Specialist supports the Operations Manager with the implementation and execution of all IFS UK programming. This role will provide key operational and administrative support to respond to a rapidly expanding community seeking access to and engaging in IFS Institute Programs. The administrator will engage in frequent and sensitive written and verbal interactions with the IFS UK community and IFSI’s staff, while handling all matters in a professional and timely manner.
IFS UK was recently acquired by IFS Institute (IFSI) based in the United States. In this role you must successfully be able to assist in the evolving process of aligning IFS, UK and IFS Institute systems to work more efficiently. IFS Institute is managed as a distributed team that uses technology and regular in-person gatherings to stay connected. We are seeking someone who is comfortable with and skilled at remote work, onsite work, self-leadership, and collaboration. Flexibility would be required around the degree of remote and onsite work from week to week with an estimated 2 days a week in the office and 3 days per week remotely.
Key Responsibilities
- Ensure a high level of customer service support to training staff and participants of our training and program offerings.
- Create and maintain a calendar of key dates/deadlines for the smooth running of operational work.
- Streamline and improve the assembling and shipping of program manuals, resources and administration materials
- Organize the distribution of program materials to venues for onsite and online programs.
- Maintain administrative systems and record keeping for each training
- Analyze training and program data to identify gaps and help streamline processes
- Manage the administrative aspects of assembling and overseeing staff teams for trainings and necessary programs.
- Ensure accuracy with tracking, ordering, and stocking supplies for onsite programs.
- Liaise and issue guidance to other roles such as finance staff, web helpers and zoom technicians as needed.
- Other duties as assigned.
Role Requirements
- 3-5 years of relevant experience, administrative experience handling complex programming preferred
- Bachelor’s degree
- Exceptional organizational, time-management, and follow-through skills
- High level proficiency with of MS Office products (Word, Excel, Outlook), Google Workspace
- Proficient at hosting Zoom meetings
- High level of sensitivity with strong interpersonal and customer care skills
- Team player who can work both independently and collaboratively
- Strong desire to do meaningful work that creates positive change in the world
- Highly organized, strong communicator and DEI advocate
- Skilled at communicating kindly, clearly, and professionally in written and spoken English
- Willingness to become familiar with the IFS model and parts language
