IGNACIO SCHOOL DISTRICT
DATA SPECIALIST/EXECUTIVE SECRETARY
The Executive Secretary to the Superintendent of Schools and the Board of Education shall be
responsible for all secretarial duties associated with the office of the Superintendent as well as those
duties assigned by the Board of Education.
The Data Specialist is responsible for the management and maintenance of the Student Information
Database (SID), currently Infinite Campus. This includes all required reporting to State and Federal
entities such as pupil count coordinator and P.L. 874 coordinator.
QUALIFICATIONS
1. A minimum of two years of college or equivalent with preparation in data systems.
2. Accomplished in spreadsheets, data systems, typing, word processing.
3. Experience with Data Management systems, managing official reports.
4. Effective oral and written communication skills.
5. Must be skilled in organizing and assisting meetings with the public.
6. Must present a positive image for the district under all circumstances.
7. Has a working knowledge of Robert's Rules of Order.
8. Must be eligible to be bonded.
9. Executes impartial and information-based judgement on all matters of policy and procedures.
10. Ability to maintain the security and confidentiality of personnel records.
11. Ability to work well with others.
12. Ability to take minutes at monthly and special board meetings.
13. Detail oriented, organized, and meets deadlines.
RESPONSIBILITIES
Assisting the Superintendent of Schools:
1. This position is responsible for administering all Colorado Department of Education reports as
required which include but are not limited to: Student October Count; Report Card March Collection;
Record Integration tracking System on every student; Safety and Discipline Indicator Collection;
Student Biographical Data; Migrant Education; Student End of Year reports; SAT biographical data, At
Risk; Attendance; Directory; Non-Public School; Prevent Harassment, Interchange and Graduation
Guideline reports and assists with the ELPA reports.
2. Manages the Student Information Database (SID), currently Infinite Campus.
3. Assists and trains district employees in their knowledge and skill using the SID.
4. As P.L. 874 Coordinator, prepares application for impact aid funds.
5. Produce accurate, neat and complete documents efficiently for the Superintendent’s Office and the
Board of Education.
6. Prepare statistical and annual reports; Board minutes and agendas; surveys and correspondence of
the Superintendent and Board of Education.
7. Maintain subject files on the operations of the Superintendent’s office and supply appropriate
information from files, as directed by the Superintendent.
8. Maintain an up-to-date district policy manual, resolutions and administrative procedures.
9. Provide polite, helpful and knowledgeable responses to questions and concerns: direct people to
appropriate resources and provide accurate information to staff and public.
10. Assist in various duties with the District Office to create an efficient and cohesive department.
11. Represent the Superintendent and District in a manner that will foster positive public relations.
12. Operate in a skilled and professional manner all office machines; assume responsibility for minor
repair and maintenance.
13. Initiate reports and correspondence under the direction of the Superintendent, Board of Education
and the Colorado Department of Education.
14. Assist the Superintendent in coordinating the availability of district records for interested citizens.
15. Coordinate with buildings, private schools in obtaining official student count information
16. Process and maintain homeschool requests.
17. Maintain attendance and transfer records of students as may be necessary to assure compliance with
applicable laws.
18. The Executive Secretary will perform all other duties as assigned by the Superintendent of Schools.
Assisting the Board of Education:
1. Possess a thorough knowledge of school district organization and operation.
2. Prepare at the direction of the Superintendent of Schools, all meeting notices for regular or
special board meetings in accordance with the bylaws of the Board of Education.
3. Attend all board meetings with the purpose of recording proceedings.
4. Prepare board meeting agenda file and assemble background material as required by the
Superintendent of Schools.
5. Prepare minutes of regular and special meetings from notes recorded during proceedings.
6. File all minutes with appropriate attachments, as prescribed by Board procedures and State
statutes.
7. Obtain all authorized signatures on official documents, affix District seal where required and
forward documents to proper offices.
8. Arrange travel accommodations and itinerary for members of the Board of Education to attend
meetings and conferences.
9. Function as a resource for written and oral communications as requested by the Board.
10. Assist with school board elections in cooperation with La Plata and Archuleta Counties.
REPORTS TO: The Superintendent of Schools/Board of Education
TERMS OF EMPLOYMENT: Twelve months assignment with vacation and holidays per board
policy.
Salary : $59,600 - $70,400
