What are the responsibilities and job description for the Application & Selection Specialist, Gilman International Scholarship Program (Hybrid) position at IIE Organization?
The Application and Selection Specialist oversees all programmatic aspects of the application system and database for the Gilman International Scholarship Program. This role will also lead the applicant communication strategy for the thousands of Gilman Scholarship applications processed each year, including leading the technical review of applications and data management.
Essential Functions:
- Oversees all aspects of the application system and database, collaborating across IIE and the Gilman team, to lead the development and design of the application and system components. Leads the active testing, identifying, and resolving of technical issues and serves as an expert in navigating the systems and formats.
- Leads the technical review of thousands of applications, based on the specific program requirements, and manages the data and reporting of applicants from application opening to sponsor approval of recommended recipients.
- Leads awarding data and notification process, including award amounts for a scholarship budget of over $10 Million per year, monitoring disbursement of funds and upgrading of alternates as appropriate.
- Creates the communication strategy and leads engagement with the thousands of applicants each year, creating virtual sessions and content for various communication platforms. Serves as an expert resource in applicant inquiries and trains staff on applicant communication.
- Envisions, develops, recommends to internal and external leadership, and implements best practices, policies, and procedures related to the application systems and processes.
- Creates and maintains database to ensure accurate data and reporting. Creates reports and data summaries for internal and external leadership as needed, along with recommendations.

Education and Work Experience:
- Requires a Bachelor's degree and at least five years of related work experience; or equivalent combination of education and experience.
Knowledge, Skills and Abilities:
- Bachelor’s degree required, Master’s degree preferred.
- Significant experience processing a large volume of applications and data and strong understanding of the complexities of different application and database systems.
- Experience with word processing, databases, spreadsheets, conducting surveys and analyzing results.
- Ability to manage a large volume of work under severe time constraints and pressures, while demonstrating creativity and suggesting innovative yet practical solutions to new challenges.
- Demonstrated excellent interpersonal, communication skills, oral and written; Exhibits maturity and is confident with meeting facilitation and uses diplomacy in difficult situations.
- Knowledge and understanding of the field of international higher education, including the U.S. higher education sector. Ability to successfully implement simultaneous projects and competing demands in a fast-paced work environment and be flexible.
Salary Range: $63,299 - $80,945. A candidate’s salary is determined by various factors including, but not limited to, relevant work experience, job-related knowledge, skills, abilities, internal organizational equity, and geographic region.
