What are the responsibilities and job description for the PT Administrative Assistant- TRIO Talent Search position at Illinois Central College?
The Administrative Assistant is primarily responsible for performing general and confidential secretarial and designated administrative support duties requiring discretion in processing, preparing and maintaining records and expenditures. This is a grant funded position from the TRIO Talent Search DOE grant with an expected end date of August 31st, 2026.

- Assist with the preparation of all monthly, quarterly, and annual reports.
- Maintain all student and program records in files.
- Maintain program database; provide formative and summative reports to the director.
- Maintain office supply inventory and coordinate office mailings.
- Reserve rooms, locations, and transportation for workshops, activities, and college and cultural trips.
- Receive, distribute and collect incoming communications, reimbursements, registration, applications, and other related materials.
- Coordinate virtual services.
- Assist in reconciling monthly credit card statements.
- Gather, compile and input data into online system report for the Annual Performance Report for the U.S. Department of Education. Keep follow-up records as assigned.
- Answer telephone, channel inquiries to appropriate personnel and take messages.
- Perform related duties as required.

- High school diploma or equivalent.
- 3 years related administrative support work.
- Proficient in Microsoft Office Suite.
- Strong typing skills a minimum of 45 words per minute.
- Strong multi-tasking and prioritization skills.
- Strong verbal and written communication skills.
- Strong interpersonal skills, including the ability to establish and maintain cooperative and professional working relationships with others.
- Associate's degree in business, administration, or related field.
- Experience in an educational system.
- Knowledge of accounting and business principles.
- Knowledge of PeopleSoft.
