Duties & Responsibilities
- Advising • Approve student changes to academic status (petitions, withdrawals, course changes). • Monitor degree progress and meet with students to ensure that all department requirements are met, including qualifying exams, preliminary and final exams, thesis, and dissertation deposit, etc. • Coordinate the qualifying, preliminary, and final examination processes. • Prepare and distribute communications via email or newsletter regarding the student programs. • Advise graduate students referencing the campus and college policies and procedures. Anticipate and take initiative in discovering and resolving graduate student problems in consultation with the appropriate faculty members(s). • Certify MS and PhD degrees at the departmental level.
- Administrative
• Maintain all graduate student records within the department (online and paper files).
• Collaborate with other department staff to coordinate department outreach events, professional development activities, award recognition ceremonies, alumni events and other graduate program related departmental events.
• Serve as the department liaison to The Grainger College of Engineering, Graduate College and Campus for graduate programs.
• Work with the Associate Head (AH)/Director of Graduate Studies (DGS) and the Department Head to coordinate the TA and RA assignment process.
• Advise Associate Head (AH)/Director of Graduate Studies (DGS), Department Head and any relevant committee on allocation of graduate fellowships for new and continuing graduate students, including preparation of necessary paperwork for the Graduate College. - Admissions/Recruiting
• Provide timely processing of application material to the Graduate College for admission of graduate students to the University; and follow up with applicants on missing items, receipt of required documentation, and decision, once made.
• Serve as the primary contact for prospective graduate students.
• Coordinate the graduate student recruitment process, including planning and execution of “visit days/weekend.”
• Organize new student orientation for graduate students.
• In collaboration with Communications, create and distribute recruitment material of various media types to develop sources of high-quality graduate student prospects. - Special Projects
• Track placement data for graduates from the MS and PhD graduate programs.
• Assist in the development, writing, and submission of fellowship and related education grant proposals and reports.
• Lead outreach efforts that broaden underrepresented student participation in graduate program.
• Promote and coordinate efforts to increase diversity in the graduate student body.
• Assume additional graduate program duties to further the mission of the department. - Administration of NPRE 596
• Ensure all NPRE graduate students are registered for the appropriate section of NPRE 596 or have an exemption for from the DGS.
• Set up all technological needs to record and/or stream the seminar presentation,
• Manage the attendance for the course on timely basis to send out the recorded lectures to absent students when appropriate.
• Communicate with the DH, DGS, and student faculty advisor when students miss the required number of seminars.
• Ensure all recordings are housed in the appropriate Box location and permission is granted prior to public dissemination.
