ROLE: Activity Coordinator, ILSC Vancouver Program
REPORTS TO: Vancouver Juniors Program Manager
PROGRAM: ILSC Vancouver Summer Juniors Program
DURATION OF PROGRAM: 6 weeks, June 29, 2025, to August 10, 2025
The Activity Coordinator is responsible for the successful delivery of the activities' component of the ILSC Vancouver Summer Juniors Program, ensuring that the activities and field trips are engaging, well-organized, and inclusive, and that the welfare, safety and discipline of the students are paramount. This includes overall responsibility for the planning, logistics and successful delivery of all the ILSC Vancouver off-campus field trips. The role requires an experienced leader, capable of managing a team of 10 staff members.
This is a key management position and is a combination of an administrative and supervisory role. This is a full-time, fixed-term position. Due to the nature of the work, your hours may vary and may be irregular.
The schedule timeline and hourly requirements are as follows:
· Full time hours on-site at ILSC Vancouver will begin on June 29, 2025, and last until August 10, 2025
· Pre-program staff training at ILSC Vancouver will take place from June 23, 2025, to June 27, 2025
· Your weekly work schedule will consist of six consecutive days of work, followed by one full day off per week
· Remuneration is $937.50/week (37.5 hours)
Duties and Responsibilities
Program Set-up and Closure
· In collaboration with the Vancouver Juniors Program Manager and the North Vancouver Juniors and Family Activity Coordinator, participate in the interviewing and hiring of the activity leaders for the ILSC Vancouver Summer Juniors Program
· Participate in leading the activity meetings at the pre-program staff training and daily during the program to review the previous day’s activities and go over the activities for the following day
· Assist in setting up the ILSC Vancouver Juniors Program in advance of students’ arrival, including unpacking, distribution, and storage of program materials
· Ensure sufficient ILSC Vancouver Juniors Program signage is displayed appropriately
· Assist in the full inventory of the ILSC Vancouver Juniors Program such as T-shirts for students and staff, bus transit cards, SIM cards if required, lanyards…etc.
· Assist the Vancouver Juniors Program Manager and Academics Coordinator in the induction of ILSC Vancouver students and group leaders into the program
Social and Activities Program
· Co-ordinate and support the activity leaders, by coaching and motivating them and leading by example
· Monitor the Social and Activities Program for ILSC Vancouver Juniors Program and adapt as appropriate in consultation with the Juniors Program Manager
· Advise ILSC Vancouver Juniors Program staff of all activities, supervision arrangements and excursions, and assign staff to activities, ensuring staffing ratios are always maintained.
· Promote and build enthusiasm for programmed activities.
· Assist in scheduling and confirming all activity bookings for the ILSC Vancouver Juniors Program, including obtaining quotes, creating/updating reservations and managing the budgeting and invoicing of these bookings
· Monitor expenditures on the Social and Activity Program for the ILSC Vancouver Juniors Program, providing full receipts and detailed records of expenditures and ensuring that all expenses are approved by the Vancouver Juniors Program Manager
Student Supervision and Support
- Participate in the Monday orientation of new students, explaining to them how the activities and excursions are structured
· In collaboration with the Juniors Program Manager, assist in coordinating weekly airport pickups/drop-offs
· Ensure the attendance of all students throughout the ILSC Vancouver Juniors social and activities program
· Take responsibility for the health, safety, welfare, and discipline of the students during activities, being prepared to immediately manage any incidents of discrimination, bullying or property damage
· Take responsibility for the supervision of leisure activities ensuring health and safety measures are respected
Other
- Participate in regular weekly meetings with the Vancouver Juniors Program Manager, North Vancouver Activities Coordinator, and the Academics Coordinator
- Assist in the program closure, repacking program materials and taking inventory of materials post-program
- Assist with staff evaluations at the end of the program
- All other reasonable requests
Skills and Attributes
Essential
- Experience working in an educational setting, camp or recreational environment
- Experience of working with teenagers in an overnight camp or residential setting
- Experience with program management
· Strong organizational and communication skills
Desirable
· Appropriate leisure qualification e.g., Sports Management or Event Planning
· Advanced CPR / First Aid / Lifeguard certification
· Instructor experience e.g., sports, drama, dance, arts and crafts etc.
