Responsibilities and Duties - Corporate Receptionist
- Track, greet, and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate location
- Ensure the shared common spaces (reception area, all conference rooms, both breakrooms, etc.) are tidy and presentable, with all necessary supplies
- Receive, sort, and distribute daily mail/deliveries
- Create mailing labels for outbound deliveries
- Assist the IT department with the coordination of shipping and receiving computers and equipment
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, create staff access badges)
- Receive, set up, and clean up food for meetings
- Manage the booking for four conference room spaces within our corporate office
- Facilitating auditor’s suite and internet access to effectively manage auditors' schedules in direct coordination with MRA Director. Additionally, having to collaborate with the IT department to ensure monthly access to auditors' computers.
- Receive paychecks and paystubs from Paylocity on a bi-weekly basis and subsequently distribute live checks to staff.
- Responsible for the direct coordination with the name tag vendor to initiate name tag orders on a bi-weekly basis following employee onboarding, and to facilitate the subsequent delivery to each new employee.
- Maintain inventory for all office supplies. Coordinate with the Chief of Staff on ordering additional supplies
- Perform other clerical receptionist duties such as filing, photocopying, scanning, and faxing
- Create maintenance tickets with building management
- Maintain accurate records of corporate purchases and submit expenses accordingly
(Required)
- Work experience as a Receptionist, Front Office Representative or similar role preferred
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. computers and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High sensitivity to confidentiality
- High school degree: additional certification in Office Management is a plus
