FULL-TIME PURCHASING ASSOCIATE
This position is part of the Purchasing Team.
This position reports to the Purchasing Team Lead and (SPT) Special Projects Team.
This position is full-time.
The Purchasing Associate is responsible for order entry, purchasing and complete follow through for the sales process (from order entry through product arrival and ultimately until product delivered successfully). In addition, Purchasing Associates work side by side with the Sales Team and the Sales Support Specialist team assisting to achieve annual goals and ongoing KPI’s by offering assistance for administrative tasks. Image Pointe is known for providing excellent customer service, rapid response, and keen attention to detail in meeting the needs of our customers. Successful applicants will be fast learners able to prioritize and manage multiple projects.
RESPONSIBILITIES
- Order Entry and order revisions.
- Create and send purchase orders to vendors and communicate production updates with the Sales Team and other company departments. Strong, clear communication with our vendors is needed to ensure orders are in line with what was requested including timely updates and production requirements.
- Provide additional support to Sales Support team for order entry, order management.
- Stay on track with departmental KPIs (e.g. order entry time, PO generation time, call goals).
- Work with department Lead and Manager to make recommendations to continuously improve processes, policies, and procedures for the department.
- Work with Logistics Team regarding receiving in-bound product.
- External vendor management.
- Assist the procurement department with special projects and reporting at the direction of management.
- Proactively recommend policies or procedures to increase efficiency of purchasing dept.
- Answer phone lines as needed and assist customers at the front counter.
- Serve as designated back up to cover responsibilities for front office staff.
- Other temporary and ongoing responsibilities as assigned by management.
QUALIFICATIONS
- Associates Degree or Bachelor’s Degree in relevant field.
- Three to five years of purchasing, administrative, or similar, working experience.
- Regularly live out IP values and culture on a daily basis.
- Responsive to requests. Effective verbal and written communication skills. Able to clearly communicate with IP management, other departments, and with your own team.
- Must have a positive optimistic attitude and be a team player. Able to work well within and across departments with a variety of people and situations. Able to balance the needs of your department with other departments and with overall goals of the company.
- Proficient with computers and software. Ability to quickly learn new things on the computer.
- As needed, maintaining an organized system of files and data for your department.
- Attending monthly dept. dashboard meetings to review department performance and make recommendations for improvements.
- Able to maintain a high level of confidentiality.
- Must be able to work in a fast-paced environment of continuous change and challenge. Must be self-motivated, responsible, and able to focus.
- Must be flexible to adjust to needs of the job depending upon the needs of the team, colleague and supervisor input, and changing demands presented by a varying workload.
- Good working knowledge of Microsoft Office suite including Excel, Word, and Outlook.
- Adaptability in using a variety of different software programs, CRM experience preferred. Able to type at least 50 words per minute.
- Must be able to work extended hours as needed.
