General Position Description
The Billing Specialist is responsible for maintaining records of the financial transactions of the center and ensuring the reliability and accuracy of those records. They are also responsible for overseeing and implementing the enrollment process. They are responsible for the tasks of contacting families regarding billing and monitoring outstanding balances to ensure each account is paid on time and in full. Must have excellent accounting skills as well as extensive organizational skills to accurately handle all the incoming enrollments, payments, system updates, and more that make up the day-to-day responsibilities. On top of meticulous attention to detail, the Billing Specialist must be able to communicate professionally, to answer billing questions for families and keep them updated with relevant account information. Able to operate with minimal supervision, with initiative and discretion.
This position reports to Billing Manager/Center Director.
Key Responsibilities
· Follow all Center, childcare licensing, and health department regulations.
· Facilitate enrollment of children in the facility.
· Compile, enter, review, and maintain financial information and verify its accuracy.
· Provide regular, accurate reports of billing data, while maintaining the highest level of confidentiality and professionalism.
· Manage daily, weekly, monthly, and annual reporting as required by Billing Administrator.
· Process center tuition payments, resolve payment issues, collect late payments.
· Analyze, maintain, and reconcile subsidy reimbursements.
· Track and recontract families accordingly.
· Analyze monthly trends and variances and communicate with the Director building trends in enrollment and withdrawals.
· Responsible for overseeing the completion of CACFP documents on a day-to-day basis.
· Maintain procedures for staff financial transactions.
· Work with Center Director to implement classroom transitions.
· Assist corporate accounting department by providing requested information.
· Follow all the center policies and state regulations.
· Be able to step into and assist in multiple facets of the facility.
· Maintain personal professional development plan to ensure continuous quality improvement.
Additional Knowledge, Skills and Experience Required
· 3 – 5 years of financial experience.
· Excellent interpersonal and communication skills.
· Incredible attention to detail.
· Strong oral and written communication skills and effective technology skills.
· Careful attention to detail; ability to track and rectify any discrepancies, however small.
· Able to operate with minimal supervision, with initiative and discretion.
· Infant/child CPR and First Aid certification.
· Valid Food Handlers Card
· A Negative One-Step TB test result
· Must meet all continued education requirements and NV childcare licensing requirements.
· Must clear full background check.
Educational Requirements
· Accounting or Finance degree preferred.
Physical Requirements
· Ability to lift up to 50 lbs.
· Must be able to stand or sit for long periods of time.
· Must be able to walk and/or run with expediency.
Employment Type
Full-time employment with open flexibility with scheduling. Must be open to travel within the company.
Wage Range
Competitive salary based on relevant years of experience, highest level of education, and performance evaluation.
