Position Summary:
The Purchasing Accounting Clerk is responsible for sourcing, selecting, and procuring merchandise for the Museum store and Divy’s Grab & Go Café. This individual will ensure that merchandise aligns with the Museum’s mission, exhibits, and visitor interests, while also maintaining quality standards, managing inventory levels, and negotiating prices with vendors to optimize profitability. In addition, this role will also work cross-departmentally to ensure that inventory levels are maintained and the sales staff are knowledgeable. The Purchasing Accounting Clerk is also responsible for supporting the finance department by managing purchasing transactions, ensuring accuracy in financial records, and maintaining supplier documentation. This role involves processing purchase orders, verifying invoices, reconciling discrepancies, and collaborating with vendors and internal staff to ensure smooth procurement and payment processes.
Essential Functions/Major Responsibilities:
Purchasing – Museum Store and Divy’s
- Prepare and process purchase orders for supplies, materials, and services.
- Manage inventory levels and ensure timely replenishment.
- Research vendors, collect prices, and negotiate terms.
- Receive, price, and stock inventory.
- Maintain accurate and up-to-date records of all purchases, including prices, quantities, and delivery dates.
- Reconcile purchase orders with vendor invoices and payment terms.
- Enter financial data accurately and efficiently.
- Prepare reports
- Collaborate with other departments
- Establish and maintain good relationships with suppliers and vendors.
- Stay updated on market trends, price fluctuations, and industry standards.

Position Requirements:
- Strong understanding of accounting principles, particularly related to accounts payable and procurement processes.
- Knowledge of procurement processes and inventory management.
- Strong attention to detail and ability to accurately process financial transactions.
- Ability to exercise good judgment.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills, with the ability to work effectively with vendors and staff.
- Computer skills utilizing word processing, email, calendar, spreadsheet and database applications at a high level.
- Initiative-taker and self-disciplined.

Education and/or Experience:
- High school diploma or GED equivalent; associate’s degree in accounting, finance, or related field preferred.
- Minimum 2 years’ experience in a purchasing or accounting support role preferred.
- Proficiency with accounting software and Microsoft Office Suite.

This is a full-time position, onsite in Everett. The pay is $25.04-$27.29 an hour depending on experience.
