Nature & Scope

Positional Overview :

We are seeking a detail-oriented and efficient Administrative Support professional to assist our equipment production client with various administrative tasks and purchasing support. This role requires a highly organized individual who can multitask, prioritize responsibilities, and maintain a high level of accuracy in a fast-paced environment.

The ideal candidate will be comfortable working independently while also collaborating with different departments within the organization. They should be proactive, resourceful, and ensure that all tasks are completed efficiently and on time. Role & Responsibilities

Tasks That Will Help You Succeed :

Vendor & Purchasing Support :

  • Assist with purchase orders, tracking past-due POs, and maintaining vendor records.
  • Conduct vendor surveys and follow-ups as required.
  • Manage and update vendor insurance documentation.
  • Maintain and update vendor records within the Syteline system.
  • Set up new vendors and employees in the purchasing system as needed.

Administrative & Office Support :

  • Handle in-house phone calls and facilitate communication between departments.
  • Perform filing, scanning, and organizing job orders for purchasing and production.
  • Coordinate and arrange lunches for meetings.
  • Check in visitors and manage office badge distribution.
  • Maintain office supplies and ensure regular inventory checks.
  • Manage the coffee area and oversee office supply restocking.
  • Production & Quality Control Assistance :

  • Assist production planning by printing, distributing, and managing job orders.
  • Log Quality Control reviews when needed.
  • Support transducer team with scanning, filing, and document organization.
  • Skills & Experience

    Qualifications That Will Help You Thrive

  • 1-2 years of experience in administrative support, purchasing, supply chain, or a related field.
  • Highly detail-oriented with strong organizational skills.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to work independently and take initiative.
  • Comfortable working in a manufacturing or production environment.
  • Proficient in office software (Microsoft Office, Google Suite).
  • Strong communication skills, both verbal and written.
  • Education and Experience Preferred :

  • 3-5 years of administrative, purchasing, or supply chain experience.
  • Familiarity with vendor management and procurement processes.
  • Experience with Syteline ERP (or similar purchasing systems).
  • Salary : $18 - $22
