Position Summary:
The Executive Assistant will work for Imerys, based at the North America headquarters in Roswell, GA, supporting members of the Senior leadership team. This role will provide comprehensive support to business executives, managing travel schedules, meeting and event coordination, interview candidate scheduling, expense reporting, meal planning, agenda preparation, document management, trade show preparation, and general administrative tasks. This position requires a highly organized, detail-oriented individual capable of managing multiple priorities in a fast-paced environment while maintaining professionalism and discretion.

Hybrid: 3 days in the Roswell office, 2 days remote

Work Arrangement
Hybrid: 3 days in the Roswell office, 2 days remote
Key Responsibilities
- Proactively manage multiple executive-level calendars, accommodating frequent changes
- Coordinate international travel arrangements for multiple executives, including handling last-minute adjustments
- Process and manage expense reports for executives and senior leaders
- Organize meetings, including presentation support, agenda creation, meal arrangements, and A/V setup confirmation
- Follow up on action items from meetings and communications
- Schedule candidate interviews and arrange associated travel
- Assist with trade show preparation and logistics
- Maintain strict confidentiality in all aspects of work
- Draft and prepare correspondence as requested, occasionally on behalf of other individuals
- Collaborate with other Executive Assistants on cross-departmental projects
- Full-time position, Monday through Friday, with flexibility required
- Occasional after-hours availability may be necessary due to executives' travel across multiple time zones
- Travel Requirements: Less than 10% travel
- Bachelor's degree in Business, Communications, or related field strongly preferred
- Associate's degree acceptable
- Equivalent combination of education and experience will be considered
- Minimum 5 years of executive-level support experience
- Proficiency in managing international travel logistics and complex calendaring
- Experience with expense report management
- Excellent written and verbal communication skills
- Advanced proficiency in Google Workspace (Drive, Sheets, Docs, Calendar, Gmail)
- Ability to multitask and prioritize
- Analytical thinking and problem-solving skills
- Discretion and ability to handle confidential information
