Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing essential administrative support. This position requires excellent communication skills, strong computer literacy, and the ability to manage multiple tasks efficiently. The Administrative Assistant will be responsible for maintaining organized files, assisting with parent inquiries, and performing various clerical duties.
PRIMARY DUTIES AND RESPONSIBILITIES:
A. Typing/General Secretarial
1. Organizes the work of the office so that tasks are accomplished in a timely manner, and by their due dates.
2. Receives and routes communications, including telephone calls, mail, announcements, and visitors; contacts parents of absentees.
3. Prepares, types, reproduces, and distributes weekly newsletter; agendas, reports, and minutes; programs for school related events (e.g., concerts, etc.); letters, forms, and other materials for special events (Kindergarten Orientation, Spring Preregistration, National Lutheran Schools Week, Parent-Teacher Conferences, etc.); certificates; school handbooks and directories.
B. Record Keeping and Reports
1. Maintains general school files in a systematic and efficient way.
2. Maintains calendar of school activities and events.
3. Maintains student and personnel records (paper and electronic), including student cumulative records folders and health records, staff absences and work records, etc. 4. Prepares reports for Synod, the State of Nebraska, the Nebraska District, and others as required.
C. Financial
1. Receives and deposits all monies in a timely manner; keeps financial books: all fees and incidental collections, etc.; sends out monthly statements of accounts to school families for Nutrition Fund.
2. Maintains inventory of consumable supplies and non-consumable equipment, initiates orders as needed (paper, office and copier supplies, laminating film, etc.) or as directed; processes requisitions, purchase orders, and invoices.
3. Administers, maintains, and reconciles school Nutrition Fund checkbook as directed. D. Computer

1. Efficiently and effectively administers computer database and other computer programs as needed/directed.
2. Uses office computer in a way that safeguards the equipment and the data.
E. General
1. Cares for sick and injured children; notifies parents as required; administers medication to students according to administrative guidelines.
2. Solicits, schedules, and supervises student and adult volunteers in the office. 3. Takes the initiative in solving problems; develops written procedures to handle various school situations.
4. Informs the Principal of activities needing his/her attention, including deadlines, appointments, schedules, etc.
5. Performs other duties as requested by the Principal.
F. Hours
1. 7:30 a.m. to 4:00 p.m. Mondays through Fridays, with a lunch break 11:30 a.m. to 12 noon. Occasionally, events may necessitate a change in hours.

6. Is able to design and edit computer files in database, spreadsheet, and other computer programs
7. Uses correct language (grammar, spelling, punctuation, sentence structure, etc.) 8. Enters both computer and written information accurately
PERFORMANCE REVIEW AND REMUNERATION:
An annual performance review will be conducted by the Principal. Remuneration will be determined by the salary schedule of the congregation. See Human Resource Manual.
PURPOSE: The school secretary is responsible for running the school office in an efficient manner, and for assuring that tasks are completed correctly and in a timely manner. The school secretary is responsible for handling all computerized and other secretarial and bookkeeping needs for the Principal; and for assisting in all correspondence and record keeping for the school, Parents & Teachers in Lutheran Schools (PTLS), and the Board of Christian Education.
