Position Summary / objective :
The primary objective of this position is to provide excellent service to employee benefit and leave programs and employee compensation processes per company policy and plan documents. This includes providing friendly and timely employee education about Immatics benefit plans, employee leave administration, annual processing of various compensation and government surveys, benefit renewals, open enrollment, compliance tasks, annual audits, and salary benchmarking.
This role is responsible for fast and friendly responses to employee inquiries, ensuring accurate and timely processing of benefit and HR invoices, and employee system changes. Additionally, the HR Generalist conducts self-audits, ensuring compliance with all applicable employment and leave laws, and company policies and procedures.
While this is a benefits and compensation focused role, there are functions that are employee facing, and there is an expectation that the employee response is friendly, fast (no later than 24 hr response) and of value (helpful).
Essential functions :
Customer facing functions
- Responsible for friendly and timely (no later than end of same day and preferably immediately upon receipt) response to employee inquiries related to compensation, benefits, job changes, leaves and other related requests.
- Provides help and guides new hires and existing employees through benefit enrollments and qualifying events, and enters employee benefits information into various systems as needed.
- Schedules and holds intake meetings with employees needing leave or disability information and provides employees with necessary disability insurance information and FMLA paperwork within the legally required deadlines. Completes, issues and tracks documentation and RTW days, and maintains communication with disability carriers and employees on leave for confirmation and clarification of return to work plans.
- Develops and executes quarterly benefit education trainings for all employees to increase employee benefit knowledge and reduce company renewal costs.
- Assists the HR manager with researching and implementing employee benefit improvements including wellness programs and mental health tools. Organizes and leads company health events.
Daily benefits & compensation administrative responsibilities
Responsible for audit and reconciliation of all monthly benefit invoices from carrier to payroll system and employee deductions within five business days of invoice generation, and communication with the carriers to ensure proper credits and processing of corrections required on invoices.Processes all HR invoices. This includes accurate creation of PQs for all invoices, ensuring completion of all pre-payment accounting processes within one business day for invoices not requiring reconciliation, and within a maximum of three business days of receipt for payroll and benefit related invoices, following up on invoice payments with accounting to assure fast vendor payment.Responsible for processing all employee system changes (new hires, promotions, title changes, salary increases, bonuses, deduction changes, department restructures, and others) in different databases and systems in a timely manner, so as to ensure accurate data for bi-weekly payroll and reporting / billing. Proactively engages with managers for clarification in changes when necessary.Audits and reconciles position data from the Recruiting Hiring Plan to HRIS systems at least twice per week during busy hiring seasons and once per week during slower periods. Responsible for ensuring accuracy and matching of data between the systems as per approvals from senior management and internal policies.Responsible for first HR Partner approval of compensation and benefit related tasks within the HRIS preferably immediately and no later than end of same day when the action item was received. Reviews submissions before approval for accuracy and completeness and communicates with the manager or Recruiter for corrections when needed.Researches salaries and salary bands on Salary.com per recruiting and manager requests, and aligns those to the IMTX data to ensure market competitiveness on an annual basis.Responsible for delivery of quarterly compensation & position management reports including quarterly grant reports and R&D vs G&A split reports.Responsible for data verification and accuracy of monthly HR Newsletter.Responds to unemployment claims and makes sure that managers and employees adhere to different legislations and guidelines.Under the assistance of Associate HR Manager, responsible for revision and upkeep of the HR Compensation and Benefits Operating Manual.Annual Compliance Responsibilities
Responsible for all benefit administrative functions and open enrollment including, but not limited to, the preparation of all benefit information in the HR intranet and HRIS, communication of timelines, and presentation of new benefits plans to employees during open enrollment period, reviewing benefit elections, EOI follow up and processing, and employee benefit deduction updates.Responsible for all hands on work associated with the annual 401k audit, including preparation and communication with the auditors, and storage of final audit reports and 5500 in the appropriate files.Responsible for completion of ongoing benefit compliance tasks including required notice distribution and government reporting (ACA, Medicare part D disclosures, CMS reporting, etc.).Completes annual surveys required by the DOL, US Census Bureaus, various state bureaus, and benchmarking survey companies.Completes annual audits of employee benefit dependents' verification documentation to ensure we have the appropriate documentation for all dependents covered under the plans.Assists the HR Manager in preparing, initiating, reviewing, and approving annual merit increases and promotions cycles. Guides managers through the process in the HRIS system and provides recommendations based on company policies and employee performance.Secondary functions :
Conducts ongoing self-audits of all areas of responsibility to assure accuracy and timeliness of execution.Ensures ongoing compliance with all federal and state employment and leave laws (FMLA, STD, LTD, state disability). Responsible for legal posters purchases and displays in the building.Plans and executes benefit events as per approved budgets annually.Collaborates with the Global HR Team in Germany to align all processes globally.Participates in HR specific projects as needed.Actively participates in employee events. Responds to requests for VOEs within two business days of receipt. Creates and provides personnel, payroll, and benefit related reports to managers and admin within 4 hours of request.Serves as backup for payroll processing, and aids during high workload periods such as HRIS project implementations as they relate to compensation and / or benefits.Assists the department with event planning and creation.Competencies

This is a sedentary position (at least 75% of time) in a typical office environment. There may be frequent interruptions with moderate noise levels and frequent use of printers, copiers, scanners, computers and other office equipment. Ability to sit, talk, walk, hear and communicate verbally and in writing is required. Occasional lifting of objects up to 25 lbs is expected.

Required education and experience
Bachelor's degree in Business Administration or a related field or equivalent.Minimum two years of previous HR experience related to payroll, benefits administration, compliance, compensation and performance systems.Advanced Excel knowledge (knowledge of formulas such as V-Look Up, AND or IF functions, matching formulas, sheet comparisons, proration calculations, etc.)Preferred education and experience
